Advance shipping notice meaning: receiving shop stock

An ASN tells you what stock is coming. Build a useful notice, match cartons to products and keep expected quantities separate from received stock.

In short

  • An advance shipping notice, or ASN, describes a shipment that is on its way or ready to leave, so the receiver can prepare before it arrives. For a small shop, make 3 things clear: which purchase it relates to, which products and quantities are coming, and how they are divided between physical cartons.
  • An ASN describes expected goods. Keep that expectation separate from the quantity counted, checked and released for customer orders.
  • The GS1 logistics guideline says the notice should be received and processed before the goods arrive, with the contents linked to each identified logistics unit.
  • A spreadsheet can support a small agreed receiving process, but it is not automatically an electronic message accepted by a retailer’s warehouse system.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

What does an advance shipping notice actually tell you?

A supplier may email that your stock has shipped while leaving you with no useful description of the cartons. An ASN adds the information the receiving person needs to prepare for that arrival. It should connect an identifiable consignment to its contents. If your shop sends replenishment stock to somebody who packs local orders, give that person a notice they can compare with the incoming boxes. A tracking link helps locate the transport; it does not explain which variant is inside a particular carton.

Start with the question your receiver will ask at the door: is this the delivery I was expecting? Give the notice a stable reference and connect it to the purchase or replenishment instruction. Then make the product quantities understandable. One total called assorted stock is difficult to check when similar colours and sizes arrive together. Describe the physical contents without assuming the receiver knows your supplier’s internal product names. A useful notice lets someone prepare the receiving task even if they did not place the purchase.

How is an ASN different from stock already received?

Treat expected, received and available as separate states in your own process. Expected means the sender has described what should arrive. Received records what was physically counted. Available records what you have decided can be used for customer orders after the relevant checks. Do not increase the available quantity simply because a notice reached your inbox. A late carton, a missing variant or damaged items can make the actual arrival differ from the expectation. Your receiving record should explain that difference rather than conceal it.

For your own test, imagine two cartons containing twelve units each. The notice therefore describes twenty-four units. Both cartons arrive, but four units in the second carton are damaged and held aside. Record twenty-four received and twenty suitable for release under this example’s checking rule. Keep the four held units visible as a separate outcome. These are invented test quantities for your workflow, not customer results. The point is to avoid turning an expected quantity into an unsupported promise of stock you can sell.

What should an advance shipping notice format contain?

Build the notice around the way you will identify and count the delivery. Use the same product reference the receiver will find on the stock list, and state whether a quantity means individual units or packs. Describe a carton separately if it contains a different mix. A header saying two cartons with no carton-level detail leaves the receiver unable to identify which contents are missing when only one arrives. Agree the minimum information before the supplier dispatches, rather than asking for a corrected document after the boxes have been opened.

A proposed checklist for a small shop’s notice. A retailer or warehouse integration can impose its own message and booking requirements.

In Microsoft Dynamics 365’s documented despatch-advice import, the message has three parts: header, logistics unit and line item. Its processing also requires the referenced purchase order or inbound shipment order to exist already. That is a concrete software rule, not a requirement to buy that software. It illustrates why sending a notice with no recognisable source order can fail even if the product descriptions look complete. Ask your actual receiving partner which references its process expects.

When should you send an ASN?

The GS1 logistics guideline places receipt and processing of the notice before the physical arrival. It also says the notice should identify the contents of each logistics unit. For your shop, make the notification part of the dispatch handover: the sender confirms what was actually packed and shares the agreed record with the receiving person. Do not substitute the original purchase quantity if packing changed. A notice sent after unloading can still explain the contents, but it cannot help the receiver prepare for an arrival that has already happened.

Agree how a changed arrival will be communicated. The notice’s contents and the delivery appointment are related information, but they are different things. If the supplier removes a carton before collection, update the expected contents. If the transport is delayed while the contents remain unchanged, communicate the arrival change without quietly rewriting product quantities. This distinction gives the receiver a sensible response: prepare another time slot for a delay, or adjust the expected count for an amended consignment.

Does an ASN need EDI or a particular number?

Your partner determines the format it can accept. A shared file may be enough for your own small replenishment process; an automated warehouse can require a structured message with agreed identifiers. Do not call a spreadsheet compliant merely because it has a column headed ASN. Test the actual exchange, including what happens when the same notice is sent again. You need to know whether a repeat transmission is ignored, treated as a revision or mistakenly counted as another shipment.

The Microsoft implementation identifies a notice by the combination of shipper identification and the notice’s stable business ID. Different suppliers can therefore use the same notice ID in their own scope. That is another specific implementation rule. In your manual process, keep the supplier reference visible alongside the notice number as well. A file simply named delivery can collide with another supplier’s message. Preserve a recognisable reference when discussing a correction, so the receiver can identify the existing expected delivery instead of creating a second one.

How do you handle a short or damaged stock arrival?

  1. Identify the notice and confirm the intended stock location before opening the cartons.
  2. Count the physical cartons against the version of the notice supplied for that delivery.
  3. Compare product references, variants and quantities with the expected carton contents.
  4. Record missing, unexpected or damaged units separately, with a useful description of the discrepancy.
  5. Tell the sender which notice and carton the discrepancy concerns and agree the next action.
  6. Release only the quantity accepted through your receiving process, keeping held items identifiable.

Keep the original expectation while adding the receiving result. If you overwrite the notice with the count that arrived, the missing quantity disappears from the comparison. A receiver should be able to show both what was expected and what was found. GS1’s guideline describes a receiving-advice message as a way to tell the supplier about receipt and problems such as missing or damaged goods. Your small shop can use that same distinction in its agreed communication without claiming to have implemented a particular electronic message.

What does the released stock cost to fulfil locally?

Use the twenty released units from the test to budget twenty separate compatible parcels. The AirPost tariff index fetched on 10 October 2026 lists UK-to-UK transport at 2 kg from €2.96, quoted in euros. Adding the platform fee of €0.85 and the recommended small-parcel packing fee of €2.25 gives €6.06 for those three components per parcel. This is the index’s EUR basis, not an assumed conversion to pounds.

Twenty such orders would total €121.20; treating all twenty-four expected units as released would instead put €145.44 into that outbound budget. Neither sum prices the inbound consignment or resolves the four damaged units. Material and other required services remain separate. Your sender sets the actual packing fee and the selected transport must accept each parcel. Read AirPost’s local fulfilment explanation for the stock-and-packing arrangement, and the guide to shipping from UK stock without your own warehouse for the wider setup.

Finish your ASN test by placing an order for the variant that was held aside. Check that it cannot be treated as available stock simply because it appears on the incoming notice. Then place an order for an accepted variant and confirm that the receiving record points to its actual location. This closes the gap between a document that describes a shipment and a working stock process. The notice succeeds when the receiver can prepare, compare and explain the arrival; the sales system still needs the resulting accepted quantity.

Frequently asked questions

What is the meaning of advance shipping notice?

It is advance information about an incoming consignment and its contents. It gives the receiving party something to prepare from and compare with the physical arrival.

What is a useful advance shipping notice example?

A notice can identify a replenishment purchase, describe each carton and list the exact products and quantities inside. The two-carton example here is a test scenario, not a real customer shipment.

Is there one compulsory advance shipping notice format?

Use the format accepted by your receiving partner. A manual stock notice and a structured warehouse message can serve related purposes while having different technical requirements.

Does receiving an ASN mean I can sell the stock?

It describes expected goods. Keep expected quantities separate from what was physically received and accepted, especially when an arrival is short, damaged or contains the wrong variant.

Does AirPost automatically import ASN messages?

This article does not promise an ASN integration. Agree how stock information will be communicated and checked with the person receiving your goods, using a test arrival before relying on the process.
