In short

  • For Shopify, start with its native inventory tools if you can manage your locations and 5 inventory states accurately; shortlist Zoho Inventory when you need mapped warehouse workflows, or Cin7 Core when channel and product stock buffers are a central requirement. Choose after testing actual stock movements, not because an app promises fewer stockouts.
  • Shopify’s on-hand quantity includes committed and unavailable units, so it is larger than the quantity you can offer for a new sale.
  • Zoho requires matching base currencies for its documented Shopify integration and does not update untracked non-inventory items during stock sync.
  • Cin7 Core documents a product-level buffer overriding a channel-level buffer. A safety buffer changes what you offer; it does not repair an incorrect physical count.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

An inventory app should explain why a product is sellable at a particular location. A grand total across shelves, reservations and incoming boxes cannot answer that question. This comparison is for a Shopify shop deciding whether to keep native inventory or introduce a separate stock system. It uses official documentation checked on 10 October 2026. The recommendations concern documented stock behaviour, not a tested ranking of speed, uptime or the providers’ customer service.

When is Shopify inventory enough for my shop?

Shopify’s inventory-state definitions identify on hand, available, committed, unavailable and incoming. On hand is the sum of available, committed and unavailable stock. Incoming units are not available to sell until received and moved into a sellable state. That distinction is already useful before you install another app. First check that tracking is enabled for the actual variants you sell.

For an illustrative count, suppose a location physically holds 20 units, with 4 committed to existing orders and 2 held for inspection. Available stock is 20 − 4 − 2 = 14. A separate shipment of 10 units still on its way does not make 24 units ready to sell. If your team can maintain these distinctions, Shopify may cover the immediate need. If the problem is inconsistent receiving, installing a connector can simply distribute the wrong quantity faster.

The three rows are alternative starting points, not three mandatory layers. Adding two external systems to one store creates more places to decide which quantity is authoritative. Write down which system owns physical stock, which owns sales availability and which records completed dispatch. Ask a vendor to explain a full movement between those records using one of your variants. A diagram of connected logos is less useful than a before-and-after quantity you can reconcile.

What should I verify in the Zoho Shopify connection?

Zoho’s Shopify integration guide says the base currency in Zoho Inventory must match the Shopify account. It also says a non-inventory item whose stock is not tracked in Shopify will not be updated during sync. For location mapping, the guide requires the multi-warehouse feature and describes locations and its separate warehouse-mapping feature as mutually exclusive. Those are setup rules, not optional details to postpone until after import.

The same guide warns that a shipment update will not be pushed to Shopify if the selected warehouse is not mapped to a location. Test an order from the warehouse you intend to use, rather than only from the default location. A completed parcel with no storefront update can generate customer questions even if the physical count is correct. Confirm your current integration version follows the documented workflow, especially when an older store connection needs additional permissions or reauthorisation.

How does a Cin7 buffer affect the Shopify quantity?

Cin7 Core’s buffer inventory document defines the quantity passed to a sales channel as actual stock minus the buffer. It requires stock updates to be enabled in the integration. Product-level buffers override the channel-level value, and changing the channel value does not change those product overrides. Product listing or updating is part of applying the new setting.

As an illustrative buffer test, use a product whose integration reports 12 units of actual stock. A channel buffer of 3 would publish 9 under that documented formula. If you set that product’s override to 5, the expected published quantity becomes 7. These are test quantities, not recommended safety-stock levels. Check how commitments are represented in your actual system before applying the example. Subtracting the same reservation twice can conceal good stock; failing to subtract it can advertise units already promised elsewhere.

Will inventory software automatically fix bundle stock?

Ask for a demonstration of your actual bundle structure instead of accepting the word bundles in a feature list. A preassembled gift box held as one finished item differs from an offer assembled from separately stocked components. For an illustrative kit containing one mug and two tea packs, ten mugs and fifteen tea packs support at most seven complete kits before other reservations. Selling tea separately changes that number. Give the provider that mixed-sales case during the trial.

Require the demonstration to include a cancellation and a partial return. The cancelled kit should release only the stock actually reserved for it. A returned component should become sellable only after the appropriate receiving decision. This article does not assert that a particular edition supports every bundle model. Treat component deduction, partial refunds and restocking as acceptance criteria to confirm. A simple quantity import cannot prove that the application understands how your shop assembles products.

How do stock decisions affect my shipping budget?

AirPost’s US → US page retrieved on 10 October 2026 displayed small-format USPS Ground Advantage starting at approximately $7.78, or €6.94 in the euro settlement view. If 12 actual qualifying orders each receive that same confirmed quote, their label subtotal would be 12 × €6.94 = €83.28. The reference already includes the €0.85 platform fee. It is a country-level starting example; enter both real ZIP codes and the finished parcel to obtain a booking quote.

That calculation prices twelve customer parcels, not a twelve-unit stock shipment. Bringing replenishment to the packing location is a separate movement with its own box and quote. Preparation, packaging and inventory-software charges also remain separate. The reason to connect the calculation to inventory is practical: count orders that can actually be filled from stock at the chosen origin. Do not budget labels for units still in transit or quietly assume every order can leave from whichever location has the cheapest transport reference.

Our first stock-batch guide helps distinguish customer orders from replenishment. If another person holds your products through AirPost for shops, keep their confirmed stock separately identifiable. You retain ownership of that stock. Agree how receipts, damaged units and completed orders are reported; the existence of an inventory app is not evidence that somebody has counted the physical box.

What is a useful inventory-software trial?

  1. Count one difficult variant

Choose a product sold in different pack sizes or locations. Record available, reserved, inspection and incoming quantities before connecting the candidate system.

  2. Sell and cancel it

Follow the supported test process. Compare each system’s quantities after the sale, then cancel and confirm that only the correct reservation is released.

  3. Receive and return it

Receive a replenishment and process a return awaiting inspection. Check that neither appears ready to sell before the required receiving decision.

  4. Change the mapping or buffer

Make one deliberate, reversible configuration change. Record the expected storefront quantity and shipment update, then compare the actual result.

Save the result in a small reconciliation sheet with timestamps and the reason for each movement. Reject a trial outcome you cannot explain, even if its final total looks plausible. The useful result is a stock history another person can follow without asking you what happened. Only then price the ongoing subscription and connector work against the manual task being replaced. Staying with native inventory can be the best outcome when the test reveals a process problem rather than missing software.

Frequently asked questions

What is the best inventory management software for Shopify?

Use native Shopify inventory for a manageable Shopify-led workflow. Investigate Zoho for documented warehouse mapping and Cin7 Core for channel and product buffers. Confirm the actual plan and connector with your stock movements before purchasing.

Why does Shopify show more on-hand stock than available stock?

On hand includes available, committed and unavailable units. Existing orders and inspection holds therefore reduce what can be offered for a new sale without necessarily removing units from the physical location.

Can Zoho sync products without Shopify inventory tracking?

Its documented integration says untracked non-inventory items will not have stock updated during sync. Check variant tracking and the connection settings before diagnosing a missing update as a counting problem.

Does changing a Cin7 channel buffer change all product buffers?

No. Cin7 says product-level overrides take priority and are not changed by a channel-buffer change. Verify the product setting and the resulting published quantity.

Should I count stock with a sender as immediately sellable?

Only after its receipt and usable condition are confirmed, and after accounting for existing commitments. Separate the sender’s actual location from incoming replenishment and from stock held elsewhere.
