In short
- For Canada Post US-bound webshop parcels, check that the shipment has a valid 13-character Declaration ID through its supported Zonos process. An unused Prepay ID expires after 5 days if it has not been linked to a tracking number.
- The ID is an assessment and payment-process reference, not proof that your product qualifies under CUSMA.
- A supported duty-paid label can already have an ID behind it, even when the code is not visibly printed. Check before creating a second payment.
- For a linked declaration you want to cancel, void the shipping label first and then follow the declaration cancellation process.
- AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.
The packing bench now needs one more question: is this particular US parcel connected to the duty process that Canada Post expects? A paid order, a completed customs form and a tracking number are related records, but they do not all prove the same thing. Checking their connection before handover is easier than sorting out an unsupported label after the parcel has left.
The following workflow uses Canada Post’s published US guidance, checked on October 14, 2026. It is for commercial orders, not an instruction to classify your shop’s sales as gifts. The rules and billing arrangements depend on the service and integration you actually use.
What does the Declaration ID establish?
According to the Canada Post US FAQ, the code confirms completion of the declaration and the required duty arrangement. It links the customs process to the shipment. It does not establish manufacturing origin, replace a preference claim or tell you that every additional tariff is excluded.
Treat it as a separate field in your dispatch record. Keep the order reference, parcel contents, tracking number and declaration reference together. When a buyer asks about a charge, these records help identify whether the question concerns the purchase total, the import assessment or a different parcel. Searching by the customer’s name alone is less reliable when the customer has placed several orders.
Must the code be printed visibly on the shipping label?
Canada Post says a visible ID is not required on a label generated through its available DDP solutions, because that process already creates the ID. Do not reject a supported label just because you cannot find thirteen characters beside the barcode. Conversely, a label generated offline without the supported connection can still be rejected even if other customs information looks complete.
Verify the integration rather than inspecting only the printout. Canada Post’s FAQ lists where the ID can be found, including the Prepay receipt, a Verified Account invoice and the customs-form record. Save the reference from the process you used. If your software supplier says it supports US duty-paid Canada Post labels, ask which exact label workflow has that support; a general carrier connection may offer several different booking methods.
The business campaign page also distinguishes supported solutions from offline shipping systems. A shipping platform logo on an integration list is not permission to use every feature combination. Check whether your own Canada Post account, label generation method and duty collection arrangement are supported together.
How do you avoid paying for the same declaration twice?
Start with the label’s source. The personal sending guide explains that certain labels already capture the declaration and prepay the duties. In that situation, you do not separately start the Prepay app for the same parcel. Your first check is the record behind the label, not an assumption that every US package needs another payment at the counter.
If the label has already been created in a marketplace or supported shipping tool, inspect the related assessment or billing record. Compare the shipment reference and actual contents. If you are unsure, confirm the process with that provider before paying again. Keep a screenshot or exported record of the answer where appropriate, so a packer covering the next shift does not repeat the same investigation.
| Parcel state | Check before handover | Action if it fails |
|---|---|---|
| Supported duty-paid label already created | Find the associated declaration or payment record | Resolve the integration record before starting another payment |
| Prepay ID created but no label linked | Confirm the ID is still valid and matches these contents | Replace an expired or cancelled ID through the supported process |
| Label linked but order cancelled | Confirm the label has been voided | Complete the declaration cancellation after voiding |
| Order divided into separate boxes | Check each box’s own contents and declaration connection | Process boxes individually in the Prepay workflow |
What happens if an ID sits unused for more than five days?
Canada Post states that a Prepay ID expires after five days when it has not been linked to tracking. Expired, used or cancelled IDs may not work. Build the check around when your parcel will be booked, rather than creating declarations far ahead of packing. A delayed product release or customer address change can leave a prepared shipment record out of date.
For an unlinked ID, the FAQ explains that the payment remains pending and expires without charging the card. Do not treat a pending authorization as a completed import payment. If you need a new declaration, review the item information again before recreating it; copying an old record can reproduce a wrong value or origin alongside the new reference.
Can one Declaration ID cover several boxes?
The Prepay app does not support multiple boxes as a single shipment. Canada Post directs you to enter each box’s contents, arrange its duties and obtain its own ID. This is a parcel-processing limitation, not advice to split goods to secure a tariff advantage. Keep the customer order connected to all of its boxes so the quantities reconcile.
If you repack after creating a declaration, compare the declared contents with the new physical boxes. A product moved from one carton to another changes the information each parcel needs. Avoid attaching the first box’s record to the second merely because both go to the same customer. Your dispatch checklist should record which items left in which carton and which label identifies each.
How do you cancel a paid declaration when the sale falls through?
For an ID already linked to tracking, Canada Post’s instructions start with voiding the shipping label. The declaration cancellation then follows through the confirmation process. For labels created in Snap Ship or Shipping Manager, the FAQ asks for proof of the voided label to be supplied to Zonos support. Keep the evidence and the cancellation reference together.
This is why cancelling the ecommerce order is not enough. Your store, the carrier label and the duty record have their own states. Check each state and preserve the resulting credit or refund documentation. Do not tell the customer that every shipping-related payment has been reversed merely because the storefront now shows “cancelled.” A shipped parcel also needs a different resolution from an unused label.
Does a Canadian-made item bypass this postal process?
Do not assume that. The latest Trade Commissioner Service resource describes postal duty collection regardless of CUSMA compliance. Some Canada Post guidance still uses older tariff terminology; the operative lesson is to obtain the current assessment through the actual service, rather than infer zero postal charges from a certificate.
Goods over US$800 also need a declaration reference under Canada Post’s published workflow, although its guidance describes different duty collection for those goods. Keep that channel distinction out of any blanket checkout statement. Separately, the product’s country of origin is required and is not necessarily Canada. The US marking guide explains why fulfillment location and article origin need separate review.
Would US inventory simplify the repeated parcel paperwork?
Lawfully imported US inventory can turn later American orders into domestic dispatches. An AirPost sender can hold the agreed products, pack them and hand them over locally. You still arrange the batch import; a sender does not make the customs obligation disappear. Evaluate that change using your actual replenishment and stock needs, rather than only counting fewer declaration records.
For a small domestic parcel, AirPost showed approximate starting amounts of US$7.78 for USPS Ground Advantage and US$8.22 for FedEx Ground Economy on October 14, 2026. Their combined displayed label cost is US$16.00 if comparing one of each. Both include the platform fee, while the sender’s agreed compensation is additional. This arithmetic illustrates domestic label costs only; it supplies no Canada-to-US transport or import price.
The dollar amounts are converted display estimates and the page states that payment settles in euros. Save the final quote before making a promise to a customer. Compare the full inventory plan, including packing and import administration, with the supported postal workflow you already use. The right choice can differ between products with predictable repeat orders and products that need to stay in Canada until purchased.
Frequently asked questions
Why is my Canada Post Declaration ID not working?
Canada Post lists expired, already-used and cancelled IDs as possible causes. An unlinked Prepay ID expires after five days. Check the exact parcel record before creating another.
Where can I find the thirteen-character code?
Depending on your process, look on the Prepay receipt, the Verified Account invoice or the customs-form record. Supported duty-paid labels do not have to display it visibly.
Should I use Prepay after buying a supported duty-paid label?
Check first. Canada Post says certain integrated labels already capture the declaration and prepaid duties. A second Prepay transaction for that parcel may duplicate the process.
Can I use one code for two boxes?
Not through the Prepay app’s single-shipment process. Canada Post instructs you to process each box and its contents separately, with a separate declaration reference.
Does cancelling my shop order cancel the Zonos payment?
Not by itself. For a declaration linked to tracking, follow the label-void and declaration-cancellation steps, then confirm the resulting billing record.
