In short
- For a Canada-to-US webshop shipment, keep 3 document questions separate: the US import invoice, any Canadian export reporting, and any CUSMA preference evidence. Goods for consumption in the US generally do not need a Canadian export declaration, but that does not waive American import documentation.
- Describe and value the actual goods, identify the parties and currency, and make the invoice match the quantities in each parcel.
- A shipment of your own stock needs supported valuation and an explanation of the movement, even when the receiver is not buying it.
- The transport label, invoice and origin certification have different purposes. A complete label is not proof that the other records were supplied.
- AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.
A search for a Canada-to-US invoice template can lead you to a form for goods entering Canada. That is the opposite direction. Begin with the destination and transaction, then choose a format your actual US entry process can use. The layout matters less than having complete information that agrees with the parcel and the electronic customs submission.
This checklist is for Canadian webshops sending orders or inventory to the United States. It uses US invoice requirements, CBSA export guidance and FedEx Canada documentation guidance checked on October 14, 2026. A carrier-specific template can help you enter the data, but the underlying transaction still needs to be understood.
Is a commercial invoice the same as a Canadian export declaration?
No. The invoice provides commercial and goods information for import handling. The Canadian export declaration reports a qualifying export to CBSA. The CBSA exporter guide lists goods exported for consumption in the United States among the common export-declaration exceptions. That Canadian reporting exception does not tell the American entry filer to dispense with invoice information.
The destination must really be US consumption. Goods traveling through the United States under a transportation and exportation bond to another destination require an export declaration under the guide. An American transit hub is therefore not the same as an American customer or cleared American inventory. Tell your provider the final destination and intended movement rather than inferring the reporting rule from the first delivery address.
Where no declaration is required, communicate the relevant no-declaration-required explanation to the carrier through its process. Keep permits and restricted-goods checks separate. A reporting exception is not permission to export or import a controlled product without the other authorization it needs.
Which information should the US invoice make clear?
19 CFR 141.86 sets out invoice information for imported merchandise, including the transaction parties, detailed descriptions, quantities, values, relevant charges and origin. It also addresses shipments outside a purchase transaction. Review the full provision with your entry provider rather than assuming a customer receipt contains every required detail.
| Invoice area | Question your record should answer |
|---|---|
| Parties and shipment | Who ships, who buys where there is a sale, who receives, and which movement is this? |
| Goods description | What is each actual article, beyond the marketing name or SKU? |
| Quantities and packages | How many items are in each identified package? |
| Values and currency | What is the supported value of each line, in which currency? |
| Charges and adjustments | Which freight, insurance, packing or discounts are included or separate? |
| Origin and classification support | Which product facts can the entry filer use to establish treatment? |
| Responsible contact | Who can answer a factual question about the transaction? |
Check the identities rather than copying the billing address into every role. A gift recipient may differ from the purchaser; an inventory receiver may differ from the importer. Your supplier may be the producer without being the seller in this transaction. Explain the arrangement clearly so the entry filer is not forced to guess from a set of addresses.
How do you write descriptions for a mixed webshop order?
Use recognizable article descriptions and the material or function that matters to classification. A model name can accompany that description but should not replace it. Separate products where the classification, origin or valuation differs. A line reading “store order” or “accessories” does not identify what an officer would find when opening the parcel.
For a bundle, show the actual components and explain how they are sold and packed. The entry provider can then establish the relevant classification. Do not give a mixed set one origin because one component or the outer box is Canadian. Keep the product references stable across the invoice, store order and stock list; that lets you answer a question about a specific line without reconstructing the shipment from memory.
Avoid swapping a US import classification for a Canadian reporting code merely because both are called HS codes. The classification comparison explains the shared international base and national extensions. Use the code needed by the relevant process, with a record of how the actual article was classified.
Can a replacement or stock transfer have no customs value?
No customer payment does not establish no customs value. The US invoice provision explicitly addresses merchandise shipped outside a purchase or purchase agreement. Record why the goods are moving and provide the valuation information requested for that transaction. A replacement, sample and transfer of your own stock can require different explanations; putting “free” into the price field does not resolve them.
For inventory sent to a fulfillment address, explain that ownership remains with your business and the receiver stores or packs it. Ask the importer or broker to confirm the valuation basis. Keep the underlying cost and transaction evidence available. Do not call the sender a buyer merely to make a sales-invoice template easier to complete.
For a discounted sale, reconcile line values with the order evidence and the way the discount was applied. Record one clear currency and identify the relevant charges. If your storefront sells in USD while your records are in CAD, preserve that distinction rather than writing one unqualified dollar sign across documents that contain different values.
Where does the CUSMA certification belong?
An invoice can carry certification information, but the invoice and the preference claim remain different checks. The CBSA certification page explains the required CUSMA elements and permitted document format. Establish which goods qualify before adding certification. A Canadian business address or the word “Canada” on a dispatch label does not prove preferential origin.
For a mixed order, identify which lines have a supported claim and which do not. Give the importer the evidence through its agreed process and confirm that preference is actually claimed where available. Do not state that an invoice certification removes every tariff: additional measures and the postal versus commercial channel need their own review.
Do you print the invoice or submit it electronically?
Follow the exact service instructions. FedEx Canada’s documentation page describes Electronic Trade Documents and requires complete information for non-document shipments. Electronic submission can change the printing process, but it does not reduce the need for accurate data. A PDF downloaded to your computer is not evidence that the carrier received it.
Save the submitted document and transmission confirmation where available. If you revise a value or description, update the appropriate records through the provider’s process. Avoid leaving an earlier invoice attached to the box while the electronic record uses a different version. Tell the packing team which document set belongs to the final label.
The US invoice rule calls for English or an accurate English translation. If your business operates in French, prepare the required English information for the entry process rather than assuming a French-only customer invoice is sufficient. Retain the original and the version supplied so transaction evidence remains connected.
What belongs in the Canadian reporting file when a declaration is needed?
For a movement that does require Canadian reporting, the CBSA guide identifies an eight-digit Canadian Export Classification number for CERS and a ten-digit Tariff Classification Number for G7-EDI. Those are process-specific fields. Confirm the destination, reporting obligation and method before choosing a code simply because it is already stored in your product catalog.
The guide also specifies a two-hour advance reporting period for mail where reporting is required. That is not a universal two-hour rule for every US webshop sale; apply it only after determining the movement’s obligation. Keep the proof-of-report reference or the appropriate no-declaration-required explanation with the shipment record.
What documents remain after your stock reaches a US sender?
Keep the batch import record linked to the stock that was received. After lawful release, domestic customer orders are a different movement from that incoming import. An AirPost local sender can hold the agreed stock and pack orders, while you remain responsible for the goods and their correct customs information. Agree receiving references and item quantities before the batch leaves Canada.
Budget the outbound labels separately from the batch invoice. On October 14, 2026, AirPost’s US domestic page showed an indicative US$7.78 starting amount for a small USPS Ground Advantage parcel. As a simple arithmetic illustration, three displayed amounts total US$23.34 before agreed sender compensation, materials and incoming stock costs. The platform fee is already in the starting amount; the page states euro settlement and uses converted display estimates.
That calculation concerns fulfillment expenses, not the value to put on the stock import invoice. Keep the product valuation review and the domestic postage budget in separate records. Archive the final batch documents, stock receipt and related orders so a later question can trace the physical goods and the commercial movement without treating every domestic order as a fresh Canadian export.
Frequently asked questions
Do I need a commercial invoice from Canada to the US?
Use the documents required by the US entry and carrier process for your goods. A Canadian export-reporting exception does not waive US import invoice information for a commercial merchandise shipment.
Can I use a Canada Customs Invoice template for southbound orders?
Check the direction. A form intended for goods entering Canada is not automatically the correct record for goods entering the US. Use a suitable format with the required American information.
Is CERS required for every US webshop order?
No. CBSA generally exempts goods for US consumption from export declarations, subject to the stated circumstances. Goods merely transiting the US to another destination require a different review.
Can a stock transfer invoice show zero because nobody bought the goods?
Do not assume so. US invoice requirements address non-purchase movements. Explain the transfer and have the importer confirm a supported valuation basis.
Must a French-language invoice be translated for US entry?
The US invoice provision requires English or an accurate English translation. Supply the required version through the booked service’s process and retain the original transaction record.
