In short

  • An EU customer return can qualify for UK Returned Goods Relief when the goods were previously exported from the UK and meet the conditions, normally including return within 3 years in an unaltered state. Check customs duty relief and import VAT relief separately, and prepare the claim and evidence before the return arrives in Great Britain.
  • For import VAT relief, HMRC requires the exporter and re-importer to be the same person and applies additional conditions.
  • A return label moves the parcel; it does not automatically claim a customs relief or refund EU import charges.
  • Keep the original export record, the returned item identity and the re-import instructions together.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

A customer returns an order from the EU, but the parcel is now travelling back across a customs border. Your refund process and the UK re-import process need different records. Start by deciding where the goods should go and how the original export will be proved. This guide concerns returns to Great Britain, meaning England, Scotland and Wales. Northern Ireland has distinct movement rules, so check the actual destination rather than applying one return template across every UK address.

What does Returned Goods Relief actually cover?

HMRC describes Returned Goods Relief as relief for goods being re-imported after they were previously exported or transported from the UK. Its published conditions cover the goods’ previous customs status, their condition and the elapsed time. For an ordinary webshop return, the practical task is to establish that the item coming back is the same item covered by your original export record and that the relevant relief conditions are met.

Do not use the customer’s return authorisation as the only evidence. That document explains why your shop accepts the parcel, but customs needs evidence about the goods and their earlier movement. Link the authorisation to the order, product identity, export and return transport references. Have your customs agent review any uncertainty before dispatch, especially if the original exporter was another business or the item has been processed abroad.

Why must you check import VAT separately from duty?

HMRC’s import VAT manual requires the same person to re-import the goods that previously exported them, and any VAT due on the item must have been paid. It also identifies an exclusion where goods were subject to a supply outside the UK. A description of returned goods on the label cannot settle those conditions. Ask your adviser to review the actual sale and export history when establishing whether VAT relief is available.

That distinction matters when a UK shop first sends stock to the EU, then sells it there, and later brings customer returns back to Great Britain. Those facts differ from an order sold and dispatched directly from Great Britain to an EU buyer. Give the agent the real stock and transaction history. Do not assume that a duty relief decision establishes a VAT relief decision, or that every item bearing your brand qualifies in the same way.

Which evidence should you save before authorising the return?

HMRC lists alternative evidence it may accept where the goods are identifiable and their duty status is clear. Examples include an export invoice, export transport document, certificate of posting and stock records. Start with the original export file, then collect the documents that connect the returned item to it. Retain a serial number where one exists, or another useful item reference, rather than expecting a generic product name to explain the whole case.

  1. Locate the original order and export documents, including the relevant transport reference.
  2. Match the returned product and quantity to the original exported goods.
  3. Record the return reason and whether the goods were repaired, altered or processed abroad.
  4. Confirm the receiving business and give the operator the intended relief instructions.
  5. Keep the re-import, inspection and refund records with the same case.

Photographs help identify and inspect an item, but do not replace export evidence. Give the customer document instructions for the selected operator. For a partial return, identify exactly which exported goods come back and which stay with the buyer.

Can you just write return or gift on the parcel?

GOV.UK’s postal relief guidance asks for a clear relief statement on the parcel and accompanying declaration, plus an accurate goods description, quantity and value. Where applicable it also calls for the VAT registration number. Use the operator’s instructions for the actual postal or courier route. A customer return is not a private gift, and goods do not lose their customs value merely because your shop is refunding the sale.

Send the customer a prepared description of what is being returned, matched to the original order. Avoid vague contents such as accessories or personal items where the original sale identifies the product more precisely. Explain the purpose of the movement to the declarant. GOV.UK’s documents guidance also points out that HMRC may open a parcel to check whether the goods match the declaration, making consistency more useful than a reassuring label note.

If the earlier export used the Customs Declaration Service, HMRC’s returned-goods guidance requires the export Movement Reference Number on the re-import declaration. Give that reference to the agent with your supporting file. Let the agent select the applicable procedure and additional codes from the current completion instructions. Copying a code from another merchant’s return is a poor substitute for reviewing your own goods’ previous customs treatment.

When should the relief be claimed?

Prepare the instructions before the return starts so the declaration can reflect the intended relief at import. GOV.UK says a late claim may be accepted where the goods were declared correctly, but that is not a reason to leave the first declaration unexplained. If a parcel has already arrived and been assessed, give the agent the assessment, payment evidence and original export file, then ask what correction or repayment route applies.

Check the timing against the actual export date. The usual three-year return period is a customs relief condition, not your customer return policy. HMRC describes circumstances in which it may waive that limit, but your shop should not assume a waiver. Keep the customer refund obligation separate from the import investigation so an uncertain relief claim does not silently become your shop’s decision about the buyer’s rights.

What does a Germany to UK parcel cost before import charges?

Use the real direction of travel to budget the return. AirPost’s live Germany to UK page listed the following outgoing transport options on 10 October 2026. They are standard route offers, not evidence that a customer return label or a Returned Goods Relief declaration is automatically included. Confirm the appropriate return booking, documents and charge payer with the operator before telling the buyer which service to use.

AirPost’s displayed transport rates already include its €0.85 platform fee. Your sender’s agreed handling fee is separate. Do not charge that platform fee twice when preparing a cost comparison. Budget any operator clearance charges and tax that remains due after checking the actual relief separately; a lower transport quote cannot compensate for an incorrectly prepared re-import.

Could an EU return address reduce unnecessary border movements?

AirPost’s local fulfilment model lets you work with a local sender holding your stock. A sender who accepts returns can report the parcel and its condition while your shop decides what happens to the item. Check that capability and agree the handling arrangement first. The existing returns without a warehouse guide explains that local workflow.

For goods already properly imported into the EU, a local return and later domestic resale can avoid sending that individual item back across the Great Britain border. Whether you should restock it, keep it aside or bring it home depends on condition, demand and your tax and stock arrangements. If you later consolidate goods for return to Great Britain, preserve the individual goods history. Combining them in a box does not remove the need to assess the re-import conditions.

How should you close and record the return?

Use separate completion points for parcel arrival, customs treatment, inspection, customer refund and stock disposition. A delivered tracking scan does not prove that the intended relief was granted or that the item is ready for resale. Match the declaration and any assessment to the case, record what arrived and decide where it belongs. If an import charge is still being disputed, leave that financial item open even after the merchandise refund is completed.

HMRC requires relevant relief records for at least four years. Save export and re-import evidence beyond the lifetime of carrier tracking links. The separate EU returns rule guide covers withdrawal rights. Shipping from the UK to Europe after Brexit needs a workable reverse process too.

Frequently asked questions

Does every EU customer return qualify for UK relief?

No. Review the earlier export, customs status, goods identity, condition and time limit. Import VAT relief also has its own conditions, including the exporter and importer identity and restrictions concerning supplies outside the UK.

Is the three-year limit my customer return policy?

No. It is the usual returned-goods customs relief time limit. Customer return rights and your sale policy are separate questions.

Can the customer declare the returned goods as a gift?

Describe the actual return and goods accurately. A return of a purchased item is not a private gift and does not justify removing its customs value.

Does a standard route price include a relief claim?

No. The live transport listing does not establish a return-label workflow or automatic customs relief. Confirm the service, instructions and declaration arrangement before dispatch.

Will UK relief refund the original EU import VAT?

UK re-import relief concerns the UK border. Any correction or repayment of charges on the earlier EU import requires a separate review with the relevant declarant or authority.
