Kickstarter shipping to Europe: budget and release rewards

Plan European Kickstarter rewards by parcel, tax responsibility and address lock. Compare direct dispatch with a local stock batch before releasing orders.

In short

  • Budget Kickstarter shipping to Europe per physical parcel, not per pledge: 1 pledge can require 2 dispatches when an add-on is late. Choose the stock origin, tax responsibility and address-lock group before buying labels; a campaign total cannot answer those decisions.
  • A shipping charge collected from a backer is revenue allocated to delivery, not evidence that all delivery costs are covered.
  • Keep reward contents, payment status and dispatch permission together when handing over a fulfilment batch.
  • Local packing starts with stock you already own and have delivered to the agreed location.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

Your book is ready, but the signed insert is still at the printer. Your campaign says European shipping is included. You now have to decide whether the book waits, whether the insert travels separately and whether the amount already collected covers that choice. This is a creator problem rather than a parcel-shopping problem. Start with what each supporter must receive. A Europe-wide average can conceal expensive reward combinations and leave your simplest reward subsidising your most complicated one.

What must your European shipping budget actually cover?

Make a delivery worksheet for each reward configuration. Record the product and add-ons, the packed dimensions, the dispatch origin, the destination group and the number of parcels. Keep manufacturing outside the postage column. Put inbound freight to a stock location in its own column, together with receiving, packaging and any work agreed with the person packing. This lets you change one part of the plan without silently changing every other cost. Use quotes for the real goods; an unboxed prototype is not the parcel your backer receives.

Then reconcile the money collected for shipping against those costs. A reward advertised with included shipping still needs an internal shipping allocation. A separate charge does not automatically include tax, import handling or replacement dispatches. Keep currency conversion visible if your campaign collects in a different currency from your fulfilment expenses. Do not compare a campaign charge with a carrier headline price and call the difference profit. The meaningful comparison is the complete delivery obligation against the amount available to pay for it.

Who collects VAT in the Pledge Manager now?

Kickstarter’s April 2026 VAT update lets creators choose platform collection or manage VAT through their own systems. It also opens the Pledge Manager to VAT-inclusive pricing. This is a configuration choice, not a tax exemption. Have the person responsible for your tax setup confirm which arrangement matches your goods, business and shipping origin. Do this before opening checkout so your reward price and later messages describe the same arrangement.

The earlier Kickstarter tax guide describes a campaign pledge and the later tax-collection stage separately. Read it alongside the newer update, rather than assuming the original collection workflow is mandatory today. Your practical control is a written responsibility record: who determines the tax treatment, who collects, who remits and which transaction report proves what happened. Neither a packing person nor a shipping label replaces that record. Ask your adviser about the actual transaction instead of copying another campaign’s checkout wording.

Does local stock make the whole campaign EU friendly?

A local stock batch changes where final parcels start. It does not explain how that stock entered the location or who was responsible for import requirements. Keep the bulk movement and the final dispatch as separate legs. If your supplier sends finished rewards into a European location, decide who receives them, checks quantities and deals with discrepancies before any supporter order is released. A label price for the final leg says nothing about the cost of the first leg.

AirPost’s local fulfilment model uses your stock held by a sender who packs and takes parcels away under your agreement. It is relevant when the finished goods, packaging and instructions can reach that person. Confirm space and preparation capacity for the release. Your stock remains yours; the published model does not automatically insure it. The distinction between direct imports and stock already held locally is developed in IOSS versus holding stock in the EU. Moving stock is an operational decision as well as a tax decision.

Can you release ready rewards while another tier is unfinished?

Kickstarter’s 2026 Pledge Manager review documents address locking by segment and multiple tracking numbers for a pledge. It also describes shipping information that includes required phone numbers. Those tools allow a release plan with distinct groups. They do not decide whether the products are complete. Define a group by the ready reward configuration and actual stock location, then check address and payment information before treating it as a packing queue.

Keep a frozen handover version for each released group. If a supporter changes an address after you have exported it, decide whether the parcel has already been packed or handed to the carrier before sending a correction. A second spreadsheet containing the new address can otherwise look like another order. Maintain one dispatch permission per physical parcel. Name the person who approves exceptions. Your production team can keep working on unfinished rewards while the packing team receives a bounded list that is ready to execute.

What does a second parcel add to the AirPost calculation?

Using the shared AirPost constants checked on 13 October 2026, the recommended small-parcel sender payment is €2.25 and the platform fee is €0.85 per shipment. Together that is €3.10 before the carrier label. If a reward genuinely needs two qualifying small-parcel dispatches on those same assumptions, preparation plus platform fees total €6.20. That comparison excludes both labels, packaging, inbound stock movement and any extra work agreed separately. The sender payment is a recommendation, not a promise that a complex reward kit takes ordinary packing time.

The useful saving question is therefore whether holding a late insert avoids another complete dispatch without breaking your backer commitment. Compare the second label, material and handling with the consequences of waiting. Do not assume the final combined parcel stays in the same size category: measure it closed. Do not tell supporters that a split is free just because the campaign only charged shipping once. Funding the extra dispatch from your margin is still a cost. For stock handover controls, see how much stock to send in your first batch.

What happens when shipping prices change after checkout?

The same Kickstarter review says pricing changes to editable Pledge Manager settings apply only to future checkouts. Do not treat a new rate as a retrospective repair of your entire reward budget. Separate supporters who have already completed checkout from those who have not. Reconcile their collected charges independently. If a production change alters the parcel, assess the existing commitment before changing customer-facing wording. A revised rate for new supporters does not remove the cost of fulfilling earlier rewards.

Before closing a release, compare expected parcels with actual dispatch records, then account for unfinished physical items separately. Keep returned parcels and replacements attached to their original supporter record. This prevents a partial reward from appearing complete merely because one tracking number exists. Carry the remaining delivery obligation into your post-campaign shop plan. Stock left for retail sale should be the stock left after reward commitments, damaged units and unresolved replacements have been identified.

Frequently asked questions

How do I set Kickstarter shipping costs to Europe?

Use the packed reward configuration, origin and destination, then add handling, packaging and inbound stock costs where applicable. Keep tax responsibility separate. A pledge with an add-on may have a different parcel count from the basic reward.

Does one pledge always mean one shipment?

No. A later add-on can require another dispatch. Decide whether to wait or split before release, and budget each physical parcel rather than multiplying a headline reward count.

Can I ship one reward tier before another?

Yes, if the actual goods, information and agreed packing capacity are ready. Use a distinct release group and retain the final version handed to the packing person.

Is AirPost connected automatically to Kickstarter?

Do not assume that connection. The model described here concerns agreed preparation of your own stock. Confirm how you will hand over the necessary order information and reconcile tracking before choosing a workflow.

Will a local sender solve my import paperwork?

Receiving finished goods for packing is a separate task from importing them. Establish the inbound responsibilities before sending the stock and obtain advice for the actual transaction.
