In short

  • You can print an eligible Royal Mail postage label at a Post Office using the Labels to Go QR code in your booking confirmation. Check the service first: international items valued above £270 are excluded at Post Office parcelshops, Collect+ parcelshops and parcel lockers.
  • A Royal Mail Delivery Office has different exclusions from a Post Office branch; choose the location for the actual service you bought.
  • Labels to Go printing is free after postage payment, but it does not pack your shop orders or remove the return address.
  • The current help page describes personal Click & Drop accounts. Check your own account and booking rather than assuming every business PDF produces a QR printout.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

Your online shop has orders ready, but you have no printer where you pack. A Post Office can be a useful printing location, provided you have the right Royal Mail booking and code. The practical question is which order can go through that route. A domestic parcel, a tracked large letter and an international sale can need different checks even when all three fit in the same bag.

The official pages used here were opened on 14 October 2026. This article concerns Royal Mail postage and its Labels to Go process in the UK. A Post Office branch can handle several services, so a general ability to accept parcels does not prove that it can print any PDF on your phone. Keep the booking provider, service and chosen location together when deciding how your shop will dispatch an order.

Which booking gives your shop a usable printing code?

Royal Mail’s Labels to Go help describes eligible purchases by personal Click & Drop account holders. The QR code arrives with the confirmation email. Open that confirmation for the order you are taking, and check that the offered printing route matches it. A tracking barcode on a PDF label and a code intended to generate a label serve different purposes. Do not assume a screenshot of one can substitute for the other.

Royal Mail also describes services for small businesses without a business parcel delivery account. Its business page points to online postage and QR printing. Having a shop therefore does not by itself settle which account workflow you use. Check how you actually bought the postage. An integrated business tool, a marketplace-generated document and a direct purchase can present different instructions. Keep those instructions with the booking instead of relying on how a previous parcel worked.

For a printer failure, start with the paid order already in your records. Look for the confirmation and an eligible print option before buying replacement postage. If the order only provides a print-ready PDF, ask the booking provider what alternative is supported. You want to resolve the existing dispatch, while keeping payment and tracking references clear. A fresh purchase creates another transaction and needs its own administrative follow-up.

Why do the Post Office and Delivery Office have different rules?

The Labels to Go help separates parcelshops and lockers from Royal Mail Delivery Offices. Its exclusions differ by location. Use the table before setting a regular drop-off routine; do not choose a Delivery Office simply because it sounds more directly connected to Royal Mail. A location that handles one of your services may still be unsuitable for another order in the same batch.

Choose a second location as part of your own dispatch planning. It should support the service you need and be accessible at the time you can visit. A branch within a shop may have different access from a stand-alone site. Check the current location details rather than promising customers dispatch based on a guessed opening time. Give the same location information to anyone carrying orders on your behalf.

What should you bring to print and hand over the order?

Royal Mail’s Post Office guide tells you to bring the confirmation QR code for in-store printing or print the label at home. Prepare the parcel before the trip and keep the document tied to its contents. This route concerns a shipping label. It should not be treated as a general counter service for printing invoices, packing slips or every file attached to your shop order.

  1. Check the purchased service

Compare the order’s destination, value and service with the supported print location. Keep special services visible on your dispatch list.

  2. Finish packing

Check the products against the order and retain an internal reference that identifies the parcel you are carrying.

  3. Open its confirmation code

Use the QR code supplied for that booking. If someone else drops it off, give them a clear parcel-to-document reference.

  4. Check the generated label

Compare the recipient with the order, attach the correct label and complete handover. Save the available posting evidence with that order.

When you carry several parcels, finish one before opening the next code. A neat row of similar boxes is helpful until someone moves one. Your own reference and the recipient check are more reliable than the position of a parcel in a bag. For a shop selling variations of the same product, compare the contents before sealing as well. The branch can generate the booked address, but it cannot know which product you put inside.

Can you hide a home return address on a branch-printed label?

Royal Mail states that the return address cannot currently be hidden or removed on labels produced through Labels to Go. It points users who want that option towards printing from Click & Drop instead. Check the address in your booking before choosing branch printing. If your shop operates from home, that address decision deserves attention before a stack of labels is generated.

Keep the question practical: which valid return address belongs to this order, and are you comfortable with the way it appears on the selected label? Do not enter an invented address simply to change the appearance. A different print location is not a substitute for a working return arrangement. If you dispatch from stock held elsewhere, check the seller, sender and return details required by the actual booking provider.

Explain the choice to the person preparing orders. They should use the approved details and recognise when a document differs from the expected booking. Keep customer addresses and your internal notes available to the people who need them for dispatch. Avoid treating a shared printer or a counter printout as an archive. Collect the needed documents and store the order reference with your own records after the handover is complete.

What if a marketplace label has no working QR print option?

Read the marketplace’s instructions for the particular postage purchase. The Royal Mail guides do not promise that all eBay, Etsy or other platform PDFs can be reprinted through Labels to Go. Check whether the platform supplies a specific supported code, a document to print, or a different handover method. If the instructions are unclear, identify the order and service when contacting the provider. A generic question about printing is less useful than that concrete information.

Royal Mail’s own help says that an ineligible direct purchase may require a new label and a refund request for the original. Its personal-account refund guide describes processing up to 5 working days after the label’s post-by date, with approved refunds credited within 21 days. Do not apply that route blindly to purchases through another company. Keep the unused booking and any replacement linked in your records, so that your customer receives the tracking reference for the parcel that actually leaves. The missing printer should not produce two unexplained dispatch notifications.

If you were planning a home collection, check its label instructions separately. Printing at a branch and arranging a collection are different actions. Carry out the handover you have actually chosen and deal with any unused booking. For a related problem, cancelling a Royal Mail collection explains that scheduling decision. The presence of a QR code alone does not complete it.

When should printing move with the rest of your fulfilment?

Branch printing solves the physical label for an eligible order. You still pick the products, pack the parcel, travel to the branch and match the posting evidence. If you want to hand over those tasks too, compare an arrangement that includes them. Record the time you really spend; do not assume a certain number of parcels makes a printer purchase or outsourcing worthwhile for every shop.

AirPost describes local fulfilment through stock and packaging placed with a sender who prints, packs and drops off orders. Using the constants checked on 14 October 2026, the recommended small-parcel handling fee is €2.25. With the platform fee of €0.85, the two components add up to €3.10 before carrier postage, materials and stock transport. This illustration is in euros; it is not a Royal Mail sterling quote or a complete order price.

The sender’s actual fee is agreed separately. AirPost’s described workflow requires the person fulfilling orders to be able to print; it does not promise Labels to Go codes for AirPost bookings. You can sell without your own printer while the person holding your stock uses one. If keeping fulfilment in-house remains appropriate, choosing a label printer for a UK small business covers that equipment decision.

Frequently asked questions

Can I print a postage label at a Post Office?

For an eligible Royal Mail booking, take the Labels to Go QR code from the confirmation. Check the service and chosen location first. A general PDF printing request is a different task.

Does it cost extra to print the Royal Mail QR label?

Royal Mail describes Labels to Go as free once the postage is paid. This concerns the eligible shipping-label printout. It does not include preparing your products or carrying orders to the branch.

Can I print an eBay shipping label at the Post Office?

Check what eBay provides for that purchased service. A Royal Mail logo or print-ready PDF alone does not establish a Labels to Go option. Follow the marketplace’s actual instructions.

Why might a Delivery Office reject my printerless order?

Its eligible print services differ from a Post Office parcelshop. Use the location-specific exclusions above and check the booking before travelling. Do not transfer a parcelshop assumption to a Delivery Office.

Can I remove my return address from Labels to Go?

Royal Mail’s current help says this is not possible through that route. Check your valid return details before purchase and use the supported alternative if you need a different label setting.
