Royal Mail business prices 2026: which guide fits your shop?

Choose the correct October 2026 Royal Mail price guide, distinguish account and online products, and compare the amount your UK shop actually pays.

In short

  • Use the guide for your purchase channel and exact service, effective from 5 October 2026. The published Royal Mail 48 Account parcel rate up to 1 kg is £3.90 before VAT and applicable extras; the online Tracked 48 Small Parcel rate up to 2 kg is £3.75 including VAT, for a different product.
  • A business selling goods can buy online postage without every label becoming a Business Parcels Account booking.
  • Record the service code, format, weight, effective date and tax treatment beside any amount used in your checkout.
  • Compare preparation costs separately from carrier postage, especially when somebody else holds your stock.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

Your customer orders a small accessory, and you need a postage figure for the margin sheet. Searching for Royal Mail business prices produces several official PDFs. Each may be correct for its own channel, while only one describes the label you intend to buy. The useful starting point is your last invoice or booking screen: identify how you pay and what service you use before selecting a price row.

Does running a business mean you need the Business Price Guide?

No. Royal Mail’s business pricing page presents separate routes: one-off Click & Drop, a registered Click & Drop account for regular smaller senders, and a Royal Mail account discussion for shops sending more than 20 parcels a week. These are buying options, rather than a rule that every commercial seller must use account postage. Start with the route you actually operate and confirm the service offered there.

The distinction matters if you sell through several channels. A postage label paid by card online and a label charged through a carrier contract may have different pricing bases. The parcel can contain the same product and carry the same carrier logo. That does not make the associated terms interchangeable. Save the price document with its title and effective date, rather than naming every downloaded PDF “Royal Mail rates”.

Which October 2026 documents are current?

Royal Mail’s 2026 announcement page links separate business, online and Post Office guides effective from 5 October. It identifies changes to Royal Mail 24 and 48 account products as well as changes to retail parcel services. A January or April PDF is historical evidence, rather than the right default for a new October booking. Keep it if you need to examine an older invoice, but date your current calculation explicitly.

This article uses the October Business Price Guide version 2 and the October Online Price Guide version 1, opened on 13 October 2026. If an account manager has provided an individual agreement, examine its current schedule too. The printed public business amount is useful for checking a product family; it does not prove that your negotiated invoice must equal that amount. Establish which document takes precedence for the actual booking.

When updating a shop spreadsheet, preserve the old row and add the new effective date. Otherwise a later refund, replacement or carrier adjustment can be compared against the wrong period. Record the posting date used for the charge, not just the day you received the invoice. A compact rate history is particularly useful when your dispatch crosses a price-change weekend and your orders span both schedules.

Why are Royal Mail 48 and Tracked 48 separate comparisons?

The names describe different products. In the October business guide, the Account Royal Mail 48 parcel row up to 1 kg is £3.90, with VAT, add-ons and relevant surcharges excluded. In the online guide, Tracked 48 Small Parcel up to 2 kg is £3.75, including VAT. The online row also specifies compensation up to £75. Those numbers show why a price comparison needs a service description, rather than just “48”.

Write down the actual format, eligibility, tracking information and protection required for your order. If the two products meet your needs differently, explain that difference in the decision sheet. You can still compare the cash amounts, but should not describe the difference as a discount for identical services. Where you require a particular feature, eliminate options that do not provide it before ranking the remaining prices.

For a business account, retain the booking or invoice code alongside the product name. A short name entered by your shop can conceal signature, format or account differences. Ask the carrier to identify an unfamiliar code before changing checkout shipping charges. That also helps a second person reproduce your calculation when the person who originally negotiated the account is unavailable.

What does one published account parcel cost after the stated extras?

For an eligible Royal Mail 48 Account parcel up to 1 kg, take the public £3.90 row as the starting point. On 13 October, the applicable domestic contract fuel and energy rate was 16%, with a 5p green charge. Under those assumptions, the calculation is £3.90 + £0.624 + £0.05 = £4.574 before VAT. Applying the UK standard 20% VAT gives £5.4888, approximately £5.49 for illustration.

This is arithmetic from public components, not your personalised carrier quote. Invoice rounding and contractual changes need checking. It excludes signature, presentation corrections and other applicable charges. Keep the unrounded working in the spreadsheet and compare the carrier’s actual line totals. If you recover input VAT, use an appropriate net comparison as well as the cash amount; do not compare a net account price with a gross online checkout.

The £3.75 online Tracked 48 Small Parcel row is already VAT-inclusive. Adding another standard VAT amount to it would distort the comparison. Equally, applying account-only extras to a non-contract online price without checking applicability would manufacture a cost. The question for each row is what the stated price already contains. Use AirPost for online shops if preparation and stock location are also part of the decision.

How do you add outsourced preparation without calling it postage?

AirPost’s English shop copy describes senders who hold stock and pack and drop off orders near your customers. That changes who prepares the parcel. It does not convert the public Royal Mail tariff into an AirPost offer or transfer your direct carrier agreement automatically. Check the services available for your actual origin and destination, then compare the preparation arrangement beside the label.

Using repository pricing constants checked on 13 October 2026, the recommended small-parcel sender fee is €2.25 and the platform fee is €0.85. For three suitable outgoing parcels, those components total €9.30, before carrier postage, materials and other agreed costs. The recommendation is a budgeting input; your sender’s agreed amount controls the real preparation charge.

Keep this euro calculation separate from the carrier’s pound figures. Without a dated conversion and applicable tax treatment, subtracting one from the other would be meaningless. For the stock-transfer decision, see how much stock to send in a first batch. Start with the products whose finished parcel sizes you already understand, so the preparation trial answers a practical question.

What should you save before changing your checkout rate?

Keep one worked order with its completed parcel measurements, chosen product, purchase channel and dated total. Add the corresponding invoice when available. If you charge customers one shipping amount across several parcel formats, test the expensive formats separately. A rate chosen from your lightest order may leave heavier orders underfunded even when every underlying label price is entered accurately.

Review which costs belong to the parcel and which belong to maintaining the operation. Packaging, preparation and an agreed collection arrangement can affect the margin without appearing in the quoted product row. Use in-house versus 3PL fulfilment for that broader calculation. Change your displayed shipping charge only after you can explain both the customer promise and the amount your shop expects to pay.

Frequently asked questions

Where is the Royal Mail business prices 2026 PDF?

Royal Mail’s official 2026 prices page links the Business Price Guide effective from 5 October. Check its date and version against the posting you are pricing.

Are Royal Mail OBA rates the same as online postage?

OBA is an account billing system. Account products and agreements can differ from a card-paid online label, so compare the actual service and tax-inclusive total.

Does the Business Price Guide include VAT?

Read the note under the relevant table. The Royal Mail 24 and 48 Account parcel rows used here exclude standard-rate VAT and applicable additional charges.

Is a Royal Mail business account always cheaper?

The account label alone proves no saving. Compare matching formats, required features, your agreed rates and all applicable extras with the alternative purchase channel.

Can I use an April 2026 rate for an October order?

Use the schedule effective for the relevant posting. An older guide is useful for historical reconciliation, while new bookings need current prices and any individual agreement.
