In short
- Compare small-business shipping plans across 3 costs: software, the carrier label and preparing the order. Sendcloud offers free and paid software plans, Packlink PRO's checked UK pages describe a free shipping tool, and AirPost charges €0.85 per parcel plus the label and the sender's agreed fee.
- A free account can still have paid labels, feature limits and optional services.
- A subscription is worthwhile when verified label savings or useful automation cover its fixed and variable costs.
- Buying shipping software leaves you responsible for packing unless you arrange fulfilment separately.
- AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.
Which logistics providers have plans for small businesses? Before comparing brands, decide which job you need help with. A shop that already packs everything might need cheaper labels or fewer manual steps. A shop selling into another country might need someone there to hold stock and prepare orders. Both problems can produce a search for a shipping plan, but the services bought are different. This comparison helps you choose the charging model before requesting quotes.
What does a shipping plan actually pay for?
Keep three rows in your budget. Software manages orders, labels or customer notifications. Transport moves the finished parcel. Preparation involves finding the products, checking the order, packing it and handing it over. A subscription can pay for software access without including either of the other rows. A price per label can cover transport without paying the person who packed the goods. Compare the same jobs before deciding which total is lower.
Write down who does each job today and who would do it after switching. If you still need to count stock, buy cartons and take parcels to a drop-off point, those tasks remain in your operating budget. They do not disappear because the label appears in a different dashboard. Equally, paying someone to prepare orders can be worthwhile even when their label is similar to the one you could buy yourself.
Which providers offer a usable starting model?
| Provider and checked offer | Charging model | Job to compare |
|---|---|---|
| Sendcloud | Free starting plan; paid software plans with separate label-processing charges | Manage shipping while keeping your own preparation operation |
| Packlink PRO, UK pages | Free shipping tool; pay for booked shipments | Compare services and manage labels for orders you prepare |
| AirPost | €0.85 platform fee per parcel, plus carrier label and agreed sender fee | Arrange local stock holding, packing and carrier handover |
Sendcloud’s public pricing page describes a subscription-free start for up to 20 parcels per month and paid plans with processing fees. Its paid cards include different software limits. Packlink’s UK WooCommerce page describes free use, while its help centre says there is no minimum shipment volume. Check the account offer for your market before relying on those descriptions. Neither statement makes the transport itself free or promises that every possible feature is included.
AirPost belongs in the comparison when you want another person to prepare orders near customers. Its sender sets the preparation fee. Availability of a person who can handle your products matters alongside the price: a country appearing in a shipping index does not confirm someone has room for your stock. For a warehouse comparison instead, use the existing fulfilment guide for fewer than 100 orders.
When is a subscription cheaper than paying per shipment?
Use your own quoted amounts. Subtract the subscribed plan’s variable cost per eligible shipment from the alternative’s variable cost. That difference is the saving available to recover the subscription. Divide the fixed subscription cost by that saving to find the shipment count needed to cover it. If the difference is zero or negative, buying more labels cannot make the subscription pay for itself through label savings alone.
Include any processing charge in the variable cost. A lower carrier amount can be partly offset by a separate label fee. If the subscription is billed annually, assess the full commitment as well as the displayed monthly equivalent. Compare the actual offer available in your account, with the billing period recorded. A public starting price is useful for finding the product; your accepted account terms determine the expenditure.
Use eligible purchased labels in this calculation, rather than every order received. Some orders may be cancelled, collected in person or shipped through another channel. Different destinations can also have different savings. Calculate the difference for each recurring parcel profile, then apply your actual mix. A discount on a route you rarely use should not determine the plan for the rest of your business.
How can you check the full cost of a locally prepared parcel?
| Domestic dispatch, 2 kg reference | Carrier-only index | Platform plus suggested small-parcel preparation | Illustrative subtotal |
|---|---|---|---|
| Inside the Netherlands | €4.65 | €3.10 | €7.75 |
| Inside Germany | €4.70 | €3.10 | €7.80 |
| Inside France | €4.55 | €3.10 | €7.65 |
The preparation column is €0.85 plus the recommended small-parcel sender fee of €2.25. This makes the cost categories visible without presenting the result as a universally bookable package. Obtain the sender's actual fee and an eligible carrier quote for the finished box. The weight reference alone does not establish the dimensions, delivery method or content conditions of a particular service.
The stock must already be in the dispatch country for a domestic label to apply. Budget the earlier stock movement separately. Packaging also has to be supplied or agreed with the sender. Compare that complete arrangement with your present packing and shipping routine, rather than subtracting a domestic carrier minimum from an international all-in charge. The European shipping cost guide gives the wider route context.
Which plan limits could make the comparison misleading?
Check the features you actually need: store connections, team access, your own carrier contract, checkout delivery choices and returns handling. Put each requirement beside the plan that includes it. A cheap starting tier is not the right comparison if you must upgrade immediately to connect your second sales channel. Ask which usage events are counted and what happens when you exceed the applicable limit.
Check operational coverage independently. Can the service accept your origin, destination, carton and goods? Does the handover involve collection or a trip to a point? Can your customer use the offered delivery location? A platform can contain many carrier names while a specific parcel still has only a few eligible options. Keep unavailable services out of the calculation instead of retaining their advertised starting prices.
Finally, decide who handles exceptions. Retain the booking reference, accepted service and invoice so you can investigate an adjustment or claim. Check cancellation and optional protection terms before assuming either is included. You need a dispatch routine you can operate when something changes, not just a low amount shown before the parcel details were entered.
Can useful automation justify a plan without a cheaper label?
Yes, if it removes work you currently perform and you can measure that benefit. Time a normal order from receipt to a ready label, including address corrections and customer updates. Repeat the same task in the proposed tool with a representative order. Keep your chosen value for staff time separate from transport expenditure. That makes the reason for paying visible even when the carrier amount stays the same.
Do not count the same saving twice. If an integration removes a manual address step, record that saved task once. If you outsource packing, compare the packing time separately from label creation. A feature list is not a measured saving. Keep a paid feature only when someone uses it, it solves a recurring problem and its benefit is worth the accepted cost.
When should you arrange packing instead of another software plan?
If preparing orders or reaching customers from the right country is the problem, label software addresses only part of it. Through AirPost’s local fulfilment arrangement, you can discuss a stock batch, preparation rate and handover routine with a sender. Ask for an ID check in the chat if needed; the green shield indicates the check. Confirm capacity and product suitability before sending stock.
Start with a small batch and the packaging it needs. Stock remains yours and is not insured through AirPost while stored with a sender, so the test should be sized accordingly. Record the agreed preparation fee, the purchased label and the work completed. Choose the model that solves your present constraint, then review it when the parcel mix or workload changes. There is no need to buy a larger plan solely because the shop hopes to grow.
Frequently asked questions
Is a free shipping plan the same as free delivery?
No. Free access to a label tool leaves the booked carrier shipment payable. Preparation, materials and any selected additional services also need their own budget.
Which logistics providers have plans for small businesses?
The checked examples include Sendcloud for shipping software, Packlink PRO for shipment management and AirPost for local preparation. Compare the job and your account-country terms before comparing prices.
How do I calculate whether a subscription pays for itself?
Divide the fixed subscription cost by the positive per-shipment saving after processing charges. Use eligible shipments and your actual route mix; a non-positive saving cannot recover the subscription through cheaper labels.
Does the illustrative AirPost subtotal include packaging?
No. It combines a dated carrier-only index minimum, the platform fee and the recommended preparation fee. Obtain a real sender agreement and eligible quote, then add materials and stock transport.
What if I need someone to pack rather than better label software?
Compare a preparation arrangement directly. Agree products, stock, packaging, capacity, price and handover with the sender before sending the first batch.
