In short

  • Calculate subscription box shipping costs per physical dispatch, then add the dispatches across the subscription. On Shopify, the initial shipping choice and recurring shipping can differ; 1 checkout payment does not establish the cost of every later box.
  • Keep the welcome box, normal renewal box and replacement parcel as separate cost profiles.
  • Check a mixed basket containing both a subscription and a one-time purchase before launching.
  • Record what you charge the customer separately from the label, preparation and materials you pay for.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

A subscription shop can make its first sale look profitable while losing money on the boxes that follow. The opening basket might contain a mug, a welcome sleeve or a promotional extra. Later orders contain only the refill. Meanwhile, the postage selected at checkout may differ from the recurring method. For a UK merchant, the useful question is therefore how much each promised dispatch consumes, and whether each payment leaves enough to cover it.

What belongs in the shipping cost of one subscription box?

Create a dispatch record with five entries: carrier label, preparation, packaging, the share of any stock movement and exceptional work. Use the sealed box for the carrier quote. Time the actual preparation if you pack yourself, or record the fee agreed with the person who packs. Packaging includes the postal carton and the materials inside it, including any subscription card that changes the weight or thickness.

Separate these entries from the contents sold to the subscriber. Coffee, stationery or another product already belongs in the product cost. If you include it again in a fulfilment total, you will count it twice. Likewise, postage collected from a customer is income towards the dispatch, rather than a reduction in the carrier invoice. Keep the two sides visible so you can assess a postage-inclusive subscription without losing the delivery expense inside its selling price.

The opening box deserves its own row. Weigh it with every welcome item, then compare it with the standard refill box. If the first carton needs a different service, obtain both quotes before pricing the offer. A lighter renewal is useful only when its actual service is cheaper or easier to prepare. The general European parcel-cost guide provides route context; this calculation follows the subscription through its individual cycles.

Does the first Shopify shipping choice apply to every renewal?

Shopify’s subscription considerations distinguish the initial shipment from recurring shipments. The method selected initially applies to the first delivery, including one-time items. Later subscription dispatches default to the least expensive available method. Recurring shipments are billed and fulfilled separately even when delivery dates overlap. These are platform behaviours to test in your store, rather than evidence that parcels physically travel together.

Run a checkout with a welcome product and a subscription. Capture the first delivery information and the recurring information. Then inspect the actual renewal order produced by your subscription setup. Match the displayed promise to a service you can purchase for that refill. If the subscriber expects a speedy welcome box, your later order confirmation should still make the ordinary refill arrangement clear. A successful opening order does not test the second dispatch.

Why can a mixed basket show a different shipping amount?

The same Shopify documentation explains that subscription shipping profiles created in Shopify can produce one shipping rate for the whole initial order. Where a third-party subscription app supplies the profiles, its subscription rate can be added to the selected rate for one-time products. Identify which setup you use before deciding that the combined amount is a bug. Save the two relevant settings alongside your test checkout.

Operationally, decide whether those products can share a box. An extra bottle may require protection that prevents a refill mailer from closing. A product stored elsewhere may require separate preparation. Write the resulting packing instruction explicitly: which items leave together, which remain on the recurring plan and which are opening-order extras. This is your fulfilment decision; a checkout shipping total alone cannot tell the person packing what to put inside.

Offer an add-on only after checking its effect on the complete dispatch. Otherwise its apparent product margin can disappear into a larger carton, another label or extra handling. Make the add-on test part of merchandising: ask the packer to prepare the basket as sold and return its measurements. Keep the result with that combination, so a later marketing change does not silently invalidate the shipping assumptions.

What does a six-box shipping budget look like?

The AirPost carrier-only index retrieved on 10 October 2026 shows GB → GB at 2 kg from €2.96. Adding €0.85 platform fee and the recommended small-parcel preparation fee of €2.25 gives a reference of €6.06 per dispatch. The index is displayed in euros; this is a euro-denominated comparison, with no invented conversion into pounds.

Illustrative commitmentDispatch countTransport, platform and recommended preparation
One qualifying refill box1€6.06
Six qualifying boxes, sent separately6€36.36
The same six boxes plus one replacement7€42.42
Hypothetical dispatch counts using the dated GB → GB 2 kg index minimum. Excludes products, materials, stock transport and extras. Obtain an eligible service and the sender’s actual fee.

Do not treat this reference as a quoted Royal Mail or Evri letterbox tariff. The index gives a weight reference and minimum, without establishing that your carton qualifies for a specific service. For a pounds-based ledger, use the actual charge and conversion your payment arrangement applies. If the welcome box differs, replace its line with its own purchased service. Multiplying the refill reference is appropriate only for genuinely identical eligible dispatches.

How do you price included shipping without hiding a loss?

Allocate the subscription payment across the physical boxes it buys, then deduct the relevant product and dispatch costs from each allocation. For a prepaid offer, the money arriving upfront still needs to fund later postage. Keep an unpaid-cost schedule by remaining dispatch, so the current bank balance does not look like profit that is available to spend. A replacement belongs to its original cycle and should remain visible as exceptional work.

Use actual packaging expenditure and actual replacements when reviewing the offer. Do not add an arbitrary damage percentage just to make the spreadsheet look complete. Until you have operating history, show what the offer can afford for an exception and what you will do if it occurs. Review the welcome cycle separately from renewals: a generous first box can be a deliberate acquisition expense, provided the later boxes have a viable cost structure.

Who releases a renewal box for local preparation?

With AirPost local fulfilment, you can agree preparation and handover with a sender holding your stock. Give that person the paid order for the current cycle, its contents and the applicable shipping instruction. Your subscription system manages the recurring customer agreement; agree the physical release procedure separately. In particular, do not ask the packer to reconstruct paid renewals from a list of subscriber names.

At the end of a cycle, reconcile boxes prepared with labels used and payments received. Investigate an extra label against its order before changing the whole subscription price. When the cost rises, identify whether it came from a heavier edition, a different route, a replacement or a preparation change. That gives you a concrete decision: revise the contents, the packing arrangement or the next offer, instead of applying a broad increase without knowing its cause.

Frequently asked questions

Are subscription box shipping costs charged only once?

Budget for every physical dispatch. An upfront customer payment can fund several future boxes, but each separately sent box still requires its own preparation and transport.

Does express shipping at signup make every refill express?

Shopify distinguishes initial and recurring shipping. Check the recurring information and the generated renewal order before promising the same service for later boxes.

Can two subscriptions with the same date use one label?

Decide from the actual orders, their contents and your fulfilment arrangement. The documented Shopify behaviour treats recurring shipments separately even when dates overlap.

Is the AirPost example a UK letterbox price?

No. It uses the dated GB → GB 2 kg carrier-only index and adds platform and recommended small-parcel preparation. A real letterbox service needs its own eligibility and quote.

Should a welcome gift share the refill cost profile?

Measure the complete welcome basket first. Use another profile if the gift changes the packaging, service or preparation; keep its cost separate from ordinary renewals.
