In short

  • Run 2 checks for a Swiss marketplace order: verify the company and VAT status in the official UID register, then check the relevant operator in the FTA mail-order/platform list. A valid number alone does not establish that this company is the importer or tax-collecting supplier for your particular sale.
  • Swiss VAT numbers use a CHE identifier with MWST, TVA or IVA. The FTA says the English suffix VAT is not the prescribed suffix.
  • Swiss platform taxation started on 1 January 2025 and can attribute the sale to the platform operator under the applicable conditions.
  • For the Swiss Post platform process, the identity label and the importer-address data serve different purposes. Follow the instructions for the actual operator and shipment.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

You sell from EU stock through a marketplace, and the order says Swiss tax has been collected. The shipping paperwork still needs the correct company and number. Start by finding out which legal entity the marketplace identifies for this sale. Your retail brand, the marketplace brand and the registered operator can have different names. The useful check connects the verified company to this order and its declared import route. It does not end when a string of digits passes a format test.

Where should you check a Swiss VAT number?

Use the official Swiss UID register. Its search supports a company name or UID, and its VAT data includes register status and the start and end of the obligation. Compare the legal entity and relevant status with the number supplied for your order. A current active-company filter is not, by itself, a check that the VAT status fits the sale. Look at the actual VAT information and retain the date of your review.

The FTA number-format guidance identifies the standard presentation as CHE-123.456.789 MWST, with TVA or IVA as alternative official-language suffixes. Those digits are its example, not a number for you to copy. If your marketplace document presents the identifier without punctuation, search the identifier and compare the registered entity. Do not invent missing digits or treat a familiar logo as evidence that the number belongs to the company shown.

Why is the UID result not enough for a marketplace shipment?

A UID lookup identifies an enterprise and its VAT information. Your shipment also needs the right tax role. The FTA explanation of platform taxation describes the platform operator as a deemed supplier where the Article 20a conditions are met. It also explains the conditions under which a foreign platform makes the relevant Swiss supply. Determine whether the order falls under that process instead of assuming every site taking an online payment has the same status.

Check the FTA list of registered mail-order businesses and platform operators, then compare it with the marketplace instructions for the particular sale. The list helps the parties clearing the goods identify whether import tax should be charged to the recipient or the taxable operator. Keep the order-level evidence too: which entity the marketplace names, which tax it collected and which import instructions it provides. A listed company does not turn an unrelated direct shop order into a marketplace sale.

Does the 2025 platform rule replace every obligation of your shop?

No. The FTA dates the platform-taxation provisions to 1 January 2025. Their application depends on the described transaction and operator conditions. Your own website sales need their own assessment, and your EU export obligations remain to be handled for the real movement of goods. Keep marketplace sales distinguishable from direct sales in your records. The fact that a marketplace has collected Swiss tax on an order does not tell you how a later direct purchase should be invoiced.

Ask the marketplace for the customs instructions attached to the order if they are absent. Useful details include the designated entity, its number, the appropriate invoice and the information your carrier must receive. Ask your declarant to confirm how the chosen service uses those details. That gives you an executable instruction instead of a vague note saying taxes paid. If the legal names or numbers conflict, resolve the mismatch before dispatch; the packer cannot choose the correct taxpayer by looking at the goods.

What must appear on a postal parcel handled under the platform process?

The Swiss Post platform instructions specify the applicable customs declaration, a VAT-compliant or pro forma invoice and an identity label for each parcel. The invoice includes the registered platform number and is attached externally in a document pouch. The separate identity label contains the name and number, without address data, and measures at least 5 cm by 2 cm. Apply these instructions only to the corresponding Swiss Post process.

The same instructions distinguish electronic importer information from that small identity label: the registered platform address is supplied in the importer data, while the Swiss number is transmitted in the designated electronic reference. Ask the carrier or declarant how your booking delivers those fields. Printing the correct identifier does not prove it was sent electronically. Conversely, completing an importer address does not mean you should add that address to the separate label whose instructions exclude it.

Give the person preparing the parcel the approved files rather than a number copied into an informal message. Have them check the identity label, invoice and actual parcel reference together. Keep the ordinary delivery address recognisable as the customer destination. If you split the order into separate boxes, have the required document set prepared for each real parcel according to the carrier instructions. One invoice saved elsewhere in your order system is not evidence that all boxes carry their required papers.

Who should deal with a second Swiss tax charge reported by the buyer?

First obtain the checkout tax statement and the import assessment for the same shipment. Establish whether the disputed line is tax or a carrier service charge. Then compare the company that collected checkout tax with the importer used in the declaration. A valid platform number may still have been omitted or connected to the wrong role. Send the discrepancy to the marketplace and the clearing carrier with the matching order and shipment references; let them identify the appropriate correction route.

Avoid deciding from a payment notification alone that the customer was taxed twice. The documents must explain the tax, person and transaction involved. Ask for the full assessment and itemised carrier bill. If your packing team used the wrong document version, record that fact and provide the approved original to the responsible party. Your customer then receives a factual explanation of the issue while the declarant handles the actual declaration question. Do not promise a refund before that assessment is resolved.

Which AirPost cost does a successful number check change?

The number check does not change the agreed packing work. Based on AirPost constants checked on 14 October 2026, the recommended fee for a regular parcel is €3.00. Add the €0.85 platform fee and the preparation component is €3.85 before the carrier label. Your actual sender agreement determines the packing fee. The calculation excludes Swiss tax, clearance, materials and any specialist work needed to resolve the importer data.

Keep that fulfilment cost beside the order tax statement, with their different functions clear. The AirPost pricing page explains the label, sender and platform components. If you outsource order preparation through AirPost, provide the approved marketplace documents and a rule for holding an order with inconsistent data. Organising the physical packing does not establish that a sales platform has applied its tax treatment correctly. The review belongs to the particular sale and import instructions.

How do you keep the next order from repeating the same mismatch?

Retain a compact operator record with the legal name, verified number, check date and current document instructions. Keep it separate from the customer address and from your own exporter identification. When a marketplace changes the legal entity in its instructions, review the saved record before sending another affected order. A correctly formatted old identifier may refer to the wrong operator for the new instructions. Update the approved pack documents together so the invoice and label remain consistent.

Link that operator record to the actual order evidence without making it an automatic conclusion for all Swiss sales. For your broader destination setup, use the existing guide to shipping to Switzerland from the EU. Its general threshold and transport explanation serve another purpose. The check here is complete when the verified entity, applicable marketplace treatment and documents for your selected shipment agree, or when you have identified the precise missing decision that must be resolved before dispatch.

Frequently asked questions

How do I check a Swiss VAT number?

Search the official UID register, compare the enterprise identity and VAT status, and retain the review date. For a marketplace shipment, also check the applicable FTA operator list and order instructions.

What is the Swiss VAT number format?

The FTA gives CHE-123.456.789 MWST as its example, with TVA or IVA as alternative suffixes. Use the actual registered company number, not the example digits.

Can I use VAT as the suffix on a Swiss VAT number?

The FTA says the English suffix VAT is not the prescribed suffix. Its official-language suffixes are MWST, TVA and IVA; check the required presentation for your document.

Does a Swiss VAT number prove the platform is my importer?

No. It identifies the registered entity. Connect that entity to the particular sale, the applicable platform treatment and the importer instructions confirmed by the declarant.

Do postal labels need the platform address as well as the number?

Swiss Post separates the identity label from importer data. Its identity label contains name and number without an address; the registered address belongs in the specified importer information.
