In short
- For Swiss-bound parcels through DHL eCommerce UK’s published invoice workflow, the buyer must have a Swiss address and a full name: initials are not accepted. Its instructions produce 5 invoice copies, so check the carrier workflow as well as your shop’s invoice template.
- The carrier’s shipping invoice, the customer’s payment record and the electronic customs declaration must describe the same goods and transaction.
- A British dispatch address does not make a product UK-origin; keep product origin separate from your packing location.
- AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.
An export invoice can contain every familiar heading and still describe the wrong transaction. Your payment provider records the payer, the order system stores the delivery recipient, and the carrier asks for the buyer. A gift order or company purchase can make those different people. Before a UK webshop prints paperwork for Switzerland, it needs a decision about those roles, rather than a rule that copies the first available name into every box.
Who belongs in the Swiss buyer field?
DHL eCommerce UK’s international-invoice instructions give a Switzerland-specific requirement: show a buyer with a Swiss address and the buyer’s full name, rather than initials. The same page requires label and invoice details to match. Treat this as an instruction for that carrier’s workflow. It is not evidence that every courier uses identical fields or that a delivery address automatically establishes the buyer for customs.
If the billing party is outside Switzerland but the goods go to a Swiss recipient, ask the booked provider how to complete its buyer and consignee sections. Do that before booking, rather than making up a Swiss buyer to satisfy the form. Keep the real purchaser, delivery recipient and any separately appointed importer identifiable. Your documents should explain the transaction honestly, even when the booking screen needs assistance to represent it.
For ordinary orders, ask for a complete receiving name at checkout and preserve the company name when relevant. Do not expand an initial by guessing. A corrected contact record should feed both the shipping label and the invoice generator. Where the customer confirms an amendment, retain it with the order so a support colleague can explain why the dispatched documents differ from the original checkout receipt.
Is the order receipt already a commercial invoice?
Business.gov.uk’s export-invoice guidance treats the commercial invoice as a customs document and distinguishes it from a quotation or pro forma. Its checklist includes the parties, invoice reference and date, currency, product descriptions, quantities, values and delivery terms. Most UK export invoices can be in English. A receipt that merely says payment received does not necessarily contain the product and shipment information needed by your carrier.
Build the shipping document from the approved order, but review what the generator actually includes. A shop receipt may hide discounts in a payment summary, omit the currency from line items or abbreviate a product to a catalogue nickname. A courier invoice might supply those fields but omit an internal reference useful to support. You can retain both documents, linked by order and invoice numbers, without assuming one is a substitute for all the others.
Keep the invoice currency explicit wherever amounts appear. A spreadsheet total without a currency is harder to reconcile with a payment in another currency. Avoid changing the currency simply because Switzerland is the destination. Instead, follow the provider’s valuation instructions and preserve the conversion evidence if a conversion is required. A euro-denominated AirPost handling illustration elsewhere in this article is not the currency instruction for your merchandise invoice.
Which product-line checks catch the mistakes a total misses?
Start with what is physically leaving. Distinct variants need descriptions that let the declarant understand the goods, not just your internal product codes. Record quantities and unit values in a way that reconciles with the order. If the shipment contains a bundle, provide enough detail for the provider to decide how its components should be declared. Do not let an attractive retail bundle name become the only description of unrelated products.
| Invoice element | Compare against | Reason to hold the order |
|---|---|---|
| Swiss buyer and consignee | Customer confirmation and carrier instructions | Initials only, missing Swiss buyer details or unclear party roles |
| Description and quantity | Picking list and physical products | Bundle contents or variant quantities cannot be identified |
| Unit values, total and currency | Actual transaction and discount record | Line amounts do not reconcile or currency is missing |
| Origin and classification | Supplier records and approved product data | Dispatch country has replaced manufacturing or preference evidence |
| Weight and package count | Completed packing record | Invoice describes a parcel configuration that was changed |
| Reference and documents | Booking, order and generated paperwork | Invoice belongs to a cancelled label or an earlier order version |
A useful reconciliation has an explanation for every difference. A partial shipment should say which goods are included, rather than reprinting the whole original order as though everything left together. A replacement needs the actual reason for export and an appropriate customs value even where the customer pays nothing again. Ask the declarant how to represent discounts and replacement goods; do not force the document to match a second payment that does not exist.
GOV.UK’s export process says the invoice needs the sale price, or the market value where goods are not sold, and describes the UK export arrangements separately from the destination import. Keep evidence supporting the value you supply. If a product is damaged, repaired or being replaced, give that context to the provider. A zero customer balance is a payment fact, and does not by itself settle customs valuation.
Does a UK return address prove preferential origin?
No. GOV.UK’s UK–Switzerland trade guidance makes preferential treatment depend on the applicable origin rules and proof. The location that packed the order is a different fact. Keep supplier-origin evidence attached to the relevant product record, and ask the declarant whether a preference claim is appropriate for the goods. A statement printed by default on every shop invoice can be wrong for a catalogue containing products with different origins.
Likewise, do not place a UK tariff reference in a Swiss-code field without identifying which code it is. Use the Swiss Tares classification guide when reviewing the destination classification. Your packer can match the approved SKU to the packed item; deciding a disputed tariff classification should remain with someone who has the product information and the relevant customs instructions.
How many copies should your packer attach?
Use the requirements for the label you actually purchased. DHL eCommerce UK says its invoices must be typed, five copies print with the label, and all copies must be securely fixed to the parcel. Those are three practical instructions for that workflow, not a universal five-copy Swiss law. A different provider may produce different paperwork or accept an approved electronic-document process. Confirm that arrangement rather than transferring an instruction from another carrier’s help page.
Check the final document set after any label change. If you change carrier, parcel count or destination details, regenerated paperwork should belong to the new booking. Remove superseded labels and avoid leaving two competing invoice versions visible. Save a readable copy of the released set with the order. That makes it possible to answer a clearance request using the documents that actually travelled, rather than whatever the system would generate today.
What should you budget for packing separately from customs?
With AirPost’s peer-to-peer fulfilment model, you agree stock and packing work with a verified sender. The stock remains your shop’s property; the sender accepts orders, prints labels, packs them and takes them to a parcel point. For this route, a UK sender can work from your approved product and document instructions. This does not appoint the sender as your Swiss importer or establish a customs brokerage service.
As a separate operating-cost example, AirPost’s shared constants checked on 19 October 2026 recommend €2.25 for small-parcel handling and €3.00 for the next parcel format. Including the platform component of €0.85, those assumptions give €3.10 and €3.85 before carrier transport. The format difference is €0.75; actual sender fees are agreed separately.
This calculation tells you the handling component you are comparing, rather than what to enter as the goods’ customs value. Transport, materials, duties and tax require their own treatment. When a displayed shipping quote includes the platform fee, do not add it again. You can compare the wider UK-to-Switzerland dispatch choices after the invoice data is ready; a lower transport quote does not repair an unidentified buyer or missing product lines.
Frequently asked questions
What are the commercial invoice requirements for Switzerland?
Use the booked provider’s requirements for the actual sale and shipment. Prepare complete party details, identified product lines, quantities, values and currency, origin information and matching shipment references. Check Switzerland-specific buyer fields before printing.
Can I use initials for the Swiss buyer?
DHL eCommerce UK’s published international-invoice workflow says the buyer for Switzerland must have a Swiss address and full name; initials are not accepted. Resolve unusual buyer and recipient arrangements with the provider.
Does every Swiss parcel need five invoice copies?
Five copies are specified in DHL eCommerce UK’s workflow. Do not generalise that instruction to every service. Follow the documents and attachment process required by your purchased label.
Can a commercial invoice for Switzerland be in English?
UK government export guidance says most UK export invoices are in English without translation. Check whether the particular provider, goods or document process asks for anything further.
Does a free replacement have no customs value?
No. A customer paying nothing again does not establish zero customs value. GOV.UK says to use market value where goods are not sold; give the provider the replacement context and supporting records.
