eBay postage label refund: a UK business seller workflow

Void an unused eBay label within the UK platform deadline, distinguish approval from payment and reconcile the postage credit separately from a buyer refund.

In short

  • For a UK business label bought on the eBay labels platform, void it while unused and within 14 calendar days, following the current eBay guidance. A buyer refund and a postage-label refund are separate actions; record both when a sale is cancelled.
  • Find the original booking and payment source before buying a replacement label or chasing a credit.
  • A cancellation request is not the same as an approved refund, and approval is not always the same as money reaching your card.
  • Check the booking provider: a directly purchased carrier label is not automatically governed by the eBay platform instructions.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

Your buyer cancels before dispatch. You refund the sale, remove the order from the packing queue and assume the postage has been dealt with too. Later, the label charge remains in your accounts. This is a common point of confusion because the item order and the transport booking appear close together on screen but represent different transactions. For a UK business shop, the useful procedure begins with the label purchase record and ends with a matched credit, rather than ending when the buyer has received their money.

Which label did you buy, and has the parcel already been handed over?

Locate the purchase confirmation for the exact shipment. Record the booking reference, service, purchase date, tracking reference and payment source. Keep the eBay item order number alongside these details. If you bought postage directly from a carrier or another booking site, use that provider’s cancellation terms. A label attached to an eBay sale does not become an eBay-platform purchase just because you later uploaded its tracking number to the order.

Then check whether the parcel remains under your control. Ask the person who packs for you whether it is still on the shelf, has entered the outgoing bag or has been handed to the transport partner. The Packlink cancellation guidance allows cancellation after payment while the merchandise has not been collected or dropped off. Do not request an unused-label refund on the basis of an old order status when the parcel has already left the packer.

Treat the absence of a tracking event as something to investigate, rather than proof that nobody used the label. Your packer may have handed the parcel over before the status you are viewing has updated. Keep the physical handover information and booking status together. If the parcel has already entered the carrier process, address the actual delivery situation with the provider and the buyer. An unused-label procedure is the wrong starting point for a parcel that is travelling or has been delivered.

What is the current eBay UK cancellation deadline?

The eBay UK label guide, checked on 14 October 2026, says labels bought on its platform must be used within 14 calendar days and unused labels should be voided within that period for a refund. It also says printing incurs the charge whether the label is used or not. Its desktop route is Selling or Orders, then Postage Labels, then Actions beside the correct label and Void Label.

Use the original purchase date to control the deadline. A later reprint is not a sound basis for assuming that the booking received a new cancellation window. Save the cancellation confirmation with the purchase record, including when you submitted it. Remove obsolete copies from the active pack queue so somebody cannot use the cancelled mark by mistake. If you cannot find the action for your booking, preserve its references and contact the provider promptly instead of waiting for the item order to change status.

Keep the seller category in view when reading help pages. eBay’s label guide describes a different unused-label process for Simple Delivery items. Do not copy an automatic-refund expectation from that section into the manually purchased label workflow of your business shop. Likewise, an old answer about a German Packlink label or a direct Royal Mail purchase does not establish the current UK eBay-platform deadline. Confirm the marketplace, purchase route and relevant guidance before relying on a remembered number of days.

Packlink’s refund timing page describes two checks: carrier confirmation, including collection cancellation, and verification that the label has not been used through shipment tracking. It states 96 hours for approval and issue of the refund. After issue, eBay Funds are available immediately; debit and credit cards are described as taking 3–7 working days, with credit-card statement timing also depending on the bank. It says an amendment invoice is issued for a refund.

Those stages explain why request submitted and money received should have different fields in your records. A confirmation email may acknowledge that the request exists without confirming that its checks have finished. Likewise, an issued credit can be waiting for a card statement. Read the actual status before contacting support. Include the booking reference, original payment route, cancellation date and current status in one message. That gives the provider a specific shipment to investigate instead of a general report that your eBay balance looks wrong.

Reconciliation stages for a shop. The provider’s published periods are guidance for its process, not a promise that every disputed request will finish on that timetable.

Do not add the published hour and working-day periods into one fixed calendar deadline. Weekends and the stage the provider has actually reached matter. Check whether approval was issued before comparing the card period. If the request remains under review, a bank statement cannot explain that first stage. If the refund was issued to eBay Funds, searching only your bank account will miss the relevant credit. Follow the path used for the purchase instead of assuming every refund appears in your usual current account.

How do you keep buyer refunds out of the label ledger?

Give the sale and the label different references in your worksheet. The sale row records the buyer transaction and any refund you sent. The label row records the transport purchase and any provider credit. Link them with the item order number, but keep their amounts and statuses separate. This lets you distinguish a fully refunded buyer with an outstanding transport credit from a completed label refund where the buyer transaction still needs attention. One green status should not conceal the other unfinished action.

Preserve the original label charge even after its credit arrives. Match the amendment document to the purchase, rather than deleting the purchase row and losing its history. The same approach helps with replacement labels: one order may have an unused original booking and a valid replacement. Record which shipment is active, why the first was replaced and which reference should remain associated with dispatch. A buyer message about a cancelled purchase should never leave your packing staff guessing which of two printed documents they should use.

You may also have performed preparation work before the cancellation. Keep that work separate from transport. Packing material used, agreed preparation charges and any other documented work do not become carrier postage merely because you recorded them against the same order. Whether those costs can be recovered depends on their actual agreement and the applicable customer obligations. A label-credit approval establishes something about the transport booking; it does not settle every cost connected with the cancelled sale.

What preparation cost should your cancellation estimate show?

Use AirPost’s preparation components to see the distinction. On 14 October 2026, the shared constants give a recommended small-parcel sender fee of €2.25 and a platform fee of €0.85 per shipment. Together they contribute €3.10 to a small-parcel planning estimate, before carrier postage and packaging. Refunding the carrier component alone would not account for that preparation component in your cost worksheet.

This is a separation of cost categories, not a statement that either AirPost component is automatically payable or refundable after a cancellation. Substitute the actual sender agreement and booking outcome. If the order was stopped before anyone prepared it, record that fact. If work had already been completed, retain the corresponding evidence and agreed charge. This gives you a useful explanation of the remaining cost without inventing a fixed cancellation penalty or treating an expected transport refund as money already recovered.

With AirPost for shops, a sender can hold your stock, prepare orders and hand over parcels. Agree how a stop instruction reaches that person before dispatch. Do not assume that cancelling an eBay item order automatically cancels work or a booking elsewhere. Name the person who confirms the physical stop and the person who handles the eBay label record. A shared order reference connects their actions without implying an automatic eBay integration.

When should you replace a label instead of reprinting it?

A failed print and a wrong transport booking are different problems. If the service and data are correct but the paper jammed, check the provider’s reprint route before buying another booking. If the package data or service is wrong, follow the provider’s change or cancellation procedure and retain both references. Before discarding the original document, confirm which booking will actually be used. Repeatedly purchasing labels to fix a printer issue creates extra transactions to reconcile and can leave duplicate documents in the outgoing pile.

For choosing the actual delivery evidence your business needs, use the existing guide to couriers and eBay delivery proof. For the amount you charge customers before a sale, see UK flat postage policies. Neither decision replaces the unused-label check. Close the cancellation record only after the obsolete shipment is stopped, the provider outcome is documented and any issued credit matches the correct purchase. You can then see what remains unresolved without reopening the entire order history.

Frequently asked questions

Does refunding my eBay buyer cancel the postage label?

Treat them as separate transactions. Find the label purchase and carry out its cancellation process while it remains unused. Record the provider outcome beside the original charge.

How long does an eBay postage label refund take?

For Packlink bookings, distinguish its stated approval period from the payment-source period after issue. Check the stage and the route used to pay before looking for the credit.

Can I get a refund after dropping off the parcel?

Packlink’s unused-shipment cancellation instructions exclude merchandise already collected or dropped off. Contact the actual provider about the shipment situation rather than declaring the booking unused.

Can I reprint a label without buying it again?

Check the existing booking’s reprint action when the service and parcel data are correct. A printer failure is not, by itself, a reason to create another transport purchase.

If another person prepares your eBay stock, agree a clear stop-before-dispatch process before handing over orders. Start by discussing preparation and shipment references with an AirPost sender.
