UK returns: can you deduct delivery after free shipping?

A cancelled free-shipping order does not create a new postage charge. Separate outbound delivery, return costs and value deductions before refunding.

In short

  • For a full statutory cancellation of a UK distance sale, £0 charged for outbound delivery means £0 of outbound delivery to refund. It does not let you invent a delivery charge and subtract it from the goods refund; treat return carriage and permitted value deductions separately.
  • If the buyer paid for a premium service, the delivery reimbursement is limited to the least expensive common and generally acceptable option you offered.
  • A return below your free-shipping threshold is not an automatic instruction to reprice the original order.
  • Record the cancellation basis, original charges and evidence of return before applying a refund rule.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

Your order qualified for free delivery, then the customer returned it. The courier still charged you, and you paid someone to prepare the parcel. It is tempting to recover those expenses through a deduction from the refund. The first question is whether the buyer is cancelling a whole distance contract under their statutory right, returning selected goods, or using a separate voluntary policy.

This guide addresses ordinary consumer distance sales under the UK Consumer Contracts Regulations. It concentrates on delivery charges and the costs your shop must finance. Faulty goods require their own analysis, and business purchases are a different relationship. Keep the scope visible in your refund workflow so a change-of-mind rule cannot silently override a customer’s other rights.

Does free delivery become chargeable when the whole contract is cancelled?

Regulation 34 requires reimbursement of payments received, subject to its specific provisions. A free outbound service has no customer delivery payment attached to it. Your own courier expense is not a payment the buyer made. Deducting that expense from the price of the returned goods would reduce the goods reimbursement; it cannot be justified merely by saying that the order no longer meets your commercial threshold.

GOV.UK’s refund guidance states that online buyers exercising the cancellation right receive a refund without deductions for fees, apart from the permitted treatment of used or damaged goods. Regulation 34 also prohibits a fee in respect of reimbursement. These rules distinguish the money owed back from the business expenses you incurred. A promise of free delivery does not change into a newly purchased service after cancellation.

Use the original order record as your starting point. It should show what the customer actually paid for merchandise and delivery after any promotion. Do not calculate a hypothetical delivery charge from today’s tariff and insert it as an original charge. If your system has a restore-shipping-on-return setting, examine its contractual basis and the type of return before allowing it to reduce a statutory refund.

Which delivery payment must you refund if the buyer chose an upgrade?

Regulation 34 separates standard delivery from an expressly selected more expensive option. Where the customer chooses that upgrade, reimbursement of delivery is capped at what the least expensive common and generally acceptable offered service would have cost. The comparison belongs to the original purchase. It is not necessarily the courier service you can buy most cheaply now, and it is not a counter price copied from a postal website.

If your generally acceptable standard option was free, that delivery-payment baseline can be zero. If the standard option carried a charge, use that original charge when applying the cap. Keep the service choices and the buyer’s selection with the order. A vague label such as express on the dispatch record does not prove that the buyer expressly chose and paid for an upgrade.

Can you charge for the return parcel instead?

Outbound carriage and return carriage are different costs. Under regulation 35, the consumer bears the direct cost of sending goods back after cancellation unless you agreed to bear it or failed to provide the required information about that responsibility. You cannot repair missing disclosure by adding a notice after the customer cancels. Preserve the information supplied with the contract and match it to the policy version in force.

Collection has a separate detail that is easy to miss. Regulation 35(8) says the consumer need not bear collection costs unless you offered collection and they agreed to bear those costs. Booking a collection unilaterally and subtracting its price is therefore not equivalent to a buyer accepting a paid return arrangement. Record the offer, acceptance and actual cost before your team treats collection as a customer liability.

A prepaid return label also needs a clear financial explanation. Distinguish a customer-agreed payment for actual return transport from a handling charge imposed because you issued a refund. A label receipt does not authorise every deduction appearing beside it. Check the applicable terms, the original disclosure and what the buyer accepted. Keep goods reimbursement and any agreed return payment separately traceable in the account.

Can handling or missing packaging cover your lost shipping margin?

Regulation 34 permits recovery of diminished value caused by handling beyond what is necessary to establish the goods’ nature, characteristics and functioning. It is not a general compensation rule for your shipping expenses. Assess the actual goods and the handling involved. Opening a parcel to inspect its contents does not automatically mean the customer owes your original preparation or carrier costs.

The regulation adds a further condition: the diminished-value provision does not apply if you failed to provide the required information about the right to cancel. This is different from the disclosure about return costs. Your workflow should retain both pieces of information and their delivery to the buyer. A single generic box saying terms accepted does not explain which information was supplied or support an arbitrary deduction.

For permitted diminished value, keep the reason and supporting evidence with the refund calculation. Do not describe a lost sales opportunity, an opened outer delivery box or your staff time as a standard percentage without checking the actual basis. Customers can inspect goods as they reasonably could in a shop. The correct deduction follows the applicable rule and evidence, rather than the amount required to rescue your order margin.

How should your free-shipping threshold fund unrecovered preparation?

AirPost’s shared constants, checked on 13 October 2026, give a recommended small-parcel preparation fee of €2.25 and a platform fee of €0.85. Together they provide a €3.10 execution reference before the carrier label. This euro reference is not a sterling carrier quote or a statement about VAT on every purchase. Use your actual agreement and billing currency when costing UK orders.

If that preparation and platform amount has been incurred and is not refunded to your shop, a full customer cancellation does not recover it for you. The execution cost remaining in this isolated comparison is €3.10; the permissible newly invented outbound charge is zero. Add any carrier cost actually left unpaid by a credit and other documented expenses. Do not assume every booked label is non-refundable or that every preparation charge can be reversed.

For a worksheet, let r be your observed share of relevant fully cancelled orders and let F be their average unrecovered preparation amount on a consistent basis. The associated allowance per placed order is r × F. Using only the AirPost reference component would make that expression r × €3.10, before transport and other costs. No return percentage is assumed here: take r and the actual unrecovered costs from your own records.

Keep returned stock, refunded customer revenue and extra return handling in their appropriate parts of the calculation. Do not deduct the full product cost as permanently lost if a resalable unit returns to stock, and do not pretend the original sale revenue remains available after refund. The existing discounts and returns threshold calculation explains the broader contribution model. This article adds the boundary on what can be recovered from the customer.

What should happen before your refund software releases the money?

  1. Classify the request

Record whether it concerns the whole distance contract, selected items, faulty goods or an additional voluntary return. Identify the original contract and policy version before selecting a refund rule.

  2. Retrieve original payments and service choices

Use the customer’s actual merchandise and delivery payments. Preserve the offered standard option and any express premium choice rather than rebuilding the order with current prices.

  3. Check any separate return-cost agreement

Verify the required disclosure and any accepted collection or label arrangement. Keep this separate from an outbound repricing or a reimbursement fee.

  4. Calculate and record permitted adjustments

Document any genuine diminished value and its legal conditions. Record the refund, evidence of return and unrecovered shop costs in their own fields.

For the timing, regulation 34 uses receipt of the goods or, if earlier, evidence that the consumer sent them back where you have not offered collection. The deadline in that situation is 14 days after the relevant event. A workflow that always waits for physical inspection can therefore use the wrong trigger. Store return evidence with a timestamp and distinguish the inspection process from the statutory reimbursement clock.

With AirPost’s fulfilment model, the agreed preparation and handover costs still belong in your shop’s calculation. Outsourcing the work does not transfer your consumer refund obligations to the person packing. If your carrier provides a returns service, the Evri business returns workflow helps separate label, tracking and refund records. Make your free-delivery offer viable before launch, using costs that your records show you actually retain.

Frequently asked questions

Do you have to refund shipping costs in the UK?

For a full statutory cancellation, reimburse the applicable original delivery payment. If standard delivery was free, there is no outbound payment to refund and no automatic new charge to deduct from the goods reimbursement.

Can a return below the free-shipping threshold create a charge?

It is not an automatic consequence. For full statutory cancellation, do not reprice the outbound promise. For selected-item or voluntary returns, identify the contract and assess the applicable rights and terms separately.

Do I have to refund an express delivery upgrade?

Where the customer expressly selected a more expensive service, reimbursement is capped at the least expensive common and generally acceptable option offered for that purchase. Keep evidence of the original choice and prices.

Can I deduct collection costs?

Regulation 35 distinguishes collection from sending goods back. A collection cost is not automatically payable by the consumer: check that you offered the arrangement and the consumer agreed to bear its cost.

Can I deduct my preparation time from the refund?

Your execution cost does not itself establish a permitted deduction. Separate return carriage and qualifying diminished value from fees for reimbursement, and finance unrecovered preparation within your commercial margin.
