Marketplace facilitator sales tax and your own store

Selling on a marketplace does not settle your own store’s tax duties. Compare threshold receipts, collection certificates and direct-order reporting.

In short

  • Marketplace tax collection does not automatically cover sales through your own store. Track 3 separate questions for each state: which sales count toward your nexus test, who collects tax on each order, and what you report on your own return.
  • Texas and Wisconsin include marketplace sales in the remote seller’s threshold calculation even when a marketplace collects the tax.
  • Return reporting can differ: Texas describes including certified marketplace sales in total sales but excluding them from taxable sales; Florida directs certified marketplace sellers to exclude those sales from their own return.
  • A fulfillment partner packing a direct-store order does not make that order a marketplace-facilitated retail sale.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

What exactly does a marketplace facilitator collect?

A marketplace facilitator or provider is a legal category defined by state law, not simply any website involved in an order. Florida’s official marketplace notice describes a provider that lists or advertises goods and collects customer payment for transmission to the seller. It specifically excludes a person whose sole activity is processing payments. Check the agreement and the actual transaction before assuming that a payment processor, advertising site or fulfillment service takes responsibility for your merchandise tax.

Start with the sale’s channel. An order placed and paid through a marketplace has a different tax record from a customer purchase in your own checkout. That distinction survives the packing decision: the same stock location can prepare both orders without changing where the retail transactions occurred. Give each order a channel field that describes the sale, then a separate fulfillment field that describes where the goods were packed. Combining those fields makes later reconciliation unnecessarily difficult.

Keep the marketplace’s current tax statement or certification with your account records, including any dates or territories it covers. A dashboard displaying tax on a sample order is evidence about that order, but it does not explain all responsibilities under your agreement. Match the statement to the state and period you are reviewing. If your channel changes its legal arrangements, retain the older record so you can still explain transactions from the earlier period.

Can marketplace sales create nexus for your direct checkout?

Yes, in states that include them in the seller’s economic test. Texas’s remote-seller FAQ says that, from April 1, 2020, all sales, including marketplace sales, enter the safe-harbor calculation even when the provider collects and remits tax. Wisconsin’s remote-seller FAQ likewise includes marketplace-provider sales made on the seller’s behalf when testing its small-seller exception. Collection responsibility and threshold receipts are different questions.

Build your state report from the underlying customer sales in each channel. A marketplace may send a net payout after commissions, advertising charges or fulfillment expenses. Your direct payment processor may also deposit less than the order total. Neither payout automatically equals the receipts required for a threshold test. Keep the sale and each deduction separate, then map the sale components to the state rule. That makes your calculation reproducible when the payout schedule crosses a month or year boundary.

Wisconsin’s published small-seller exception uses $100,000 or less in annual gross Wisconsin sales in both the previous and current calendar year. The state removed its transaction-count threshold effective February 20, 2021. A seller making taxable direct sales after losing the relevant exception needs to address those direct sales even if every marketplace order already has tax collected. Do not transplant that rule into another state’s workbook without checking its own receipts definition and measurement period.

The packing location is an operational record. It does not replace evidence of who made the retail sale and collected its tax.

Save a link between the channel order and the shipment without using the shipment identifier as the only sales reference. One retail order can have more than one dispatch, and a replacement package may not be a new sale. If your reports count every shipment as revenue or a transaction, the threshold calculation can drift. The source retail record should tell you what was sold and charged; the shipment record should tell you how the goods moved.

Check manual orders too. A customer who sees a product on a marketplace and then buys directly from your website may create a direct-store sale. A marketplace message followed by a separate payment is not automatically covered by that marketplace’s collection arrangement. Review the actual sale rather than the customer’s discovery channel. Your accounting system needs to preserve that distinction even when both orders use the same product code and packing instructions.

Why can Texas and Florida returns treat marketplace receipts differently?

For certified provider-collected sales, Texas describes including marketplace sales in item one, Total Texas Sales, while excluding them from item two, Taxable Sales. Florida’s official notice instead says that when the provider certifies collection, the seller must not collect the same tax and must exclude those marketplace sales from its own tax return, if applicable. Do not use the same reporting mapping merely because both states shift collection for the facilitated transaction to the provider.

Prepare a reconciliation between the full state sales ledger and the figures entered on the return. Label omitted or deducted marketplace receipts by their legal reason. A lower taxable-sales box is not necessarily a lower threshold-sales total, and a tax return that excludes facilitated sales is not evidence that those sales never occurred. This reconciliation helps you answer an agency question without reconstructing channels from bank statements after the fact.

Florida’s notice separately requires a marketplace seller with physical presence in Florida, or qualifying remote sales outside the marketplace, to register and address taxable sales outside the marketplace. That is why adding your own store changes the review even if your marketplace setup has been stable. Check the state’s current rules when a new channel starts, and record the effective date. Do not assume a marketplace-only conclusion remains valid after you begin direct retail sales.

Can an AirPost shipment reduce the sales you count toward nexus?

AirPost’s US domestic rate page, opened on 14 October 2026, displayed small-package USPS Ground Advantage from approximately $7.78 including its platform fee, before the sender’s agreed fee. The USD display is a conversion reference; the page says payment is in euros. That amount is an operating-cost reference for the dispatch arrangement, not an automatic deduction from your customer’s gross receipts.

For simple shipping-margin arithmetic, suppose a separately billed customer delivery charge and the comparable fulfillment-cost reference both equal $7.78. Their difference is $0.00 before sender payment and other costs. That does not turn the customer charge into zero gross receipts. In a Texas threshold calculation, the seller-collected transportation amount remains relevant under the published receipts definition. Use the actual customer charge and actual expenses in your own ledger; this example only demonstrates the difference between margin and receipts.

The same distinction applies when the order came through a marketplace. A fulfillment deduction from the payout does not necessarily reduce the amount counted toward nexus. AirPost’s published model describes stock held and orders packed by a local sender. Establish the retail channel and collection responsibility independently of that packing agreement. For operational choices, see US Shopify fulfillment routing, which helps distinguish an order’s origin from the partner performing fulfillment.

What should you do before turning on a second sales channel?

Make a state-by-state launch record. Start with the sales already made through the marketplace, then add the intended direct channel without erasing the existing history. Review threshold inclusion, physical presence and registration status. Assign responsibility for checking the direct checkout’s product and shipping tax settings. Keep the decision and supporting official links where the person preparing returns can find them, rather than leaving the conclusion only in a launch conversation.

After the first direct sale, verify that the receipt, tax report and fulfillment instruction agree on the same customer transaction. Confirm that marketplace tax is not also being collected by your own invoice for that facilitated sale. Where a direct order is taxable, confirm that it enters your own reporting flow. This small reconciliation catches a channel-mapping error before it becomes a repeated problem across the next filing period.

Frequently asked questions

Does marketplace facilitator tax cover my own website?

It generally applies to the facilitated transaction under the state’s rules. Your direct website sales need their own nexus, registration and collection review.

Do marketplace sales count toward economic nexus?

State rules differ. Texas and Wisconsin expressly include marketplace sales in the remote seller’s receipts test even when the provider collects the tax.

Can I count only the marketplace payout after fees?

Do not assume that. A payout can already exclude selling and fulfillment expenses. Start with the sales records and apply the state’s required receipts definition.

Should I report provider-collected sales as my taxable sales?

Follow the specific return instructions. Texas and Florida describe different reporting mappings for certified marketplace sales.

Is a payment processor a marketplace facilitator?

That depends on the state definition and actual activities. Florida expressly excludes a person whose sole activity is processing payment transactions.
