In short
- For a UK PayPal sale of a physical item, make 3 checks before dispatch: the transaction’s protection status, its recorded shipping address and the carrier evidence your service can supply. Shipping to a different address can break Seller Protection eligibility, even when the change request is genuine.
- A carrier redirect needs its own review of the actual destination, delivery trail and applicable protection terms.
- A shop address edit and a buyer message are not substitutes for checking the address on the PayPal transaction.
- Keep a changed-address order with the packer while you resolve the payment and delivery instructions together.
- AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.
A buyer pays through PayPal and then messages your UK shop: please send the parcel to work instead. That may be an ordinary customer-service request. Your response still needs to account for payment protection. The buyer’s preferred destination, your shop’s current order address and PayPal’s transaction address can now differ. Sorting out that difference before dispatch is easier than explaining it after a dispute and a completed carrier delivery.
This guide concerns physical goods sold through a UK PayPal business setup. PayPal’s UK Seller Protection page, its help information and the carrier source were checked on 14 October 2026. The legal page showed an update dated 12 October 2026. Use the terms for your actual account and transaction, especially if your business is registered elsewhere. A UK buyer does not by itself make another country’s account subject to the UK version.
Which address do you compare before releasing the parcel?
Open the transaction inside your own PayPal account. Compare its shipping address with the final shop order and the label the packer will use. Check postcode, building number or name, street and any delivery-point details. The check is about a specific transaction, not whether the buyer has a generally verified-looking account. A screenshot supplied by the buyer can help explain the request but should not replace your own transaction record.
PayPal’s Seller Protection help page instructs sellers to ship to the address on the Transaction Details page and provide valid shipment or delivery evidence. Make that comparison part of your release process. If an address change exists only in a chat or in your shop admin, hold the parcel while you determine the appropriate payment solution. Do not send to a known incorrect old address merely because it appears on the payment record.
Keep the original address and the buyer’s change request in the order history. Then record the destination you actually approved. This lets another member of your team see whether the problem is still open. It also prevents a packer from using a cached label after the order has been updated. Ask for confirmation of the label version when a parcel was already prepared, rather than assuming every system refreshed at the same time.
Does a genuine change request preserve Seller Protection?
A genuine request explains why the buyer wants a change. Under PayPal’s UK policy, redirecting a parcel from the recorded destination to another address removes Seller Protection eligibility. Distinguish that later carrier instruction from an address problem you discover before dispatch. Record who requested the change, when it happened and where the parcel actually went. Your initial label alone cannot explain a delivery trail that subsequently changed.
| Address situation | What you check | Dispatch decision |
|---|---|---|
| PayPal record, approved order and label agree | Protection status and service evidence | Continue the remaining order checks |
| Buyer requests another address before dispatch | Whether the correct destination can be used under the payment terms | Hold while payment and address are resolved |
| Shop order edited but PayPal record differs | The actual provider record, not just the shop display | Do not treat the edit as automatic protection |
| Buyer asks the carrier to redirect after dispatch | Actual route and the redirection exclusion | Preserve evidence; do not promise coverage |
| Buyer offers to arrange their own courier | Who can supply verifiable shipment and delivery evidence | Review before handing over the goods |
When the address cannot be resolved under the original transaction, discuss an appropriate refund and new purchase through the official checkout. Confirm the old payment outcome and avoid collecting twice. Let the buyer supply the correct destination in the new purchase process. A new transaction has its own eligibility and must be checked again. This is an operating option to investigate, not a promise that starting again guarantees protection.
Why does the number of PayPal payments matter?
The UK terms require one payment from one PayPal account; partial payments or instalments do not meet that requirement. Check an offer to send the balance from another account before accepting it. Your address investigation should not create a separate payment mismatch. Keep deposits, balance requests and replacements clearly distinguishable in your records. The person reviewing the order needs to know which sale each receipt is intended to finance.
For a changed-address order, do not create a patchwork of unrelated receipts and ask the packer to infer which one authorises dispatch. Keep one documented decision for the current order. If you refund an earlier transaction, store its refund reference and status. If a new checkout is used, link the new order to the old case without letting both enter execution. The packer needs a single current instruction for the goods that are still in stock.
PayPal business checkouts must supply browser-session and device data correctly. Its UK policy gives a 60-day correction notice for missing information; unresolved issues can remove unauthorised-transaction protection. Assign that notice to your integration provider and ask for a documented resolution. Keep it separate from the buyer’s address request. You need to know whether a technical checkout issue is still open, even when the parcel destination looks ordinary.
What can a UK carrier prove after the parcel leaves?
Choose the service according to the evidence you need, not just whether it prints a label. The Post Office describes Royal Mail Tracked 24 with Signature as including tracking, delivery proof, a delivery photo and a signature from the recipient. Those are useful service characteristics to compare when dispatching eligible UK parcels. They do not guarantee that PayPal will approve a claim or that every possible destination supports the same service.
A signature and a photo also answer different questions. Preserve the order and label alongside the carrier record so the evidence refers to the same parcel and destination. An image of a doorway without the related tracking record is harder to interpret. Before using a courier arranged by the buyer, ask how you would retain verifiable evidence under your own sale. Once the goods are gone, reconstructing a missing handover trail can be difficult.
Keep the carrier evidence accessible in the order file. If tracking shows an unexpected delivery point, investigate with the carrier and record what was confirmed. Do not replace the original address in your history to make the final event look consistent. For service comparison beyond this one example, see choosing a courier for UK business orders. Check the actual offered service and evidence before each unusual delivery request.
Is every item-not-received dispute covered by Seller Protection?
No. UK Seller Protection excludes item-not-received claims filed directly with the card issuer. Check the actual case route and stated reason before deciding which documents to upload. Keep the buyer’s message and case reference together. A customer-service conversation might help resolve the missing parcel, while a provider case still requires a formal response. Assign both tasks clearly so a helpful conversation does not leave a separate case unanswered.
The UK Buyer Protection terms provide an item-not-received dispute window of 180 days from payment. That buyer-side deadline is not a Seller Protection guarantee or the deadline for answering a specific request for documents. Follow the response date in your case. Your order records should remain useful beyond the day the carrier marks the parcel delivered, subject to the retention rules that apply to your business and personal data.
If PayPal has advised you not to release the item, hold it: the UK policy excludes items sent after that instruction. A normal-looking order or familiar buyer does not override it. For a missing-parcel report, reconcile the approved address with actual delivery. For a contents complaint, use product and packing records. Explain the observed facts and keep any replacement shipment tied to its own order.
What should an AirPost sender receive when the address is unresolved?
For AirPost local fulfilment, you place your stock with a sender who packs and drops off approved orders. When an address is unresolved, give the sender the order number and a clear instruction to keep the goods until you confirm the final decision. Ask whether anything has already been handed over. The sender’s physical confirmation and your PayPal eligibility check serve different purposes; keep both in the case.
Use the real parcel category in your cost model. AirPost constants checked on 14 October 2026 give a small-parcel recommended sender compensation of €2.25. With the platform component of €0.85, the subtotal is €3.10. For a large parcel, recommended compensation of €5.50 produces a subtotal of €6.35. The difference is €3.25. These are EUR-denominated components; transport, materials and goods are additional, and the agreed compensation can differ.
This comparison does not price PayPal protection. It shows that unnecessary execution has different costs depending on the physical order. Avoid sending a replacement before resolving whether the original parcel can still be held. If you do authorise a new shipment, check the new address and payment again. Frequently asked questions
Can I ship a PayPal order to a different address?
Hold the order and check the transaction terms before doing so. Compare the approved destination with the provider record; a buyer message alone does not resolve eligibility.
What if the buyer changed their shipping address after paying?
Keep the parcel with the packer while you investigate a suitable payment and address solution. Make sure the original and any replacement order cannot both be dispatched.
Does PayPal Seller Protection cover a redirected parcel?
Under the UK policy, redirection to a different address removes eligibility. Keep the original instruction and final carrier record together when investigating the delivery.
Does signed delivery guarantee PayPal protection?
No. Service evidence helps document delivery, but the transaction and dispute must also meet the applicable protection requirements.
Can I edit the shop address and keep using the old label?
Check the label against the actual approved destination. Hold conflicting versions and confirm the final instruction with the packer before the goods leave.
