Pick and pack costs: per item, order or parcel?

Read European pick-and-pack quotes without confusing items, orders and parcels. Compare byrd, Monta and AirPost charging units and a split-order example.

In short

  • European pick-and-pack costs can be charged against 3 different units: items, orders and parcels. The checked byrd page describes an order base plus additional picks, Monta describes preparation per item, and AirPost uses a sender’s agreed parcel-size fee plus separate platform and label costs.
  • Ask how many picks the base includes and whether repeated units of one product count separately.
  • A kit prepared before storage and a kit assembled during dispatch can require different work.
  • Splitting an order adds parcels, so a low picking charge does not establish the final shipping total.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

A pick-and-pack quote becomes much easier to read when you put a real basket beside it. One customer order might contain several products and leave in more than one box. Each charging unit answers a different question: what was collected from stock, what order was processed and what parcel was dispatched? This guide focuses on those units and on multi-item baskets. It does not supply an invented European average where providers require a quote.

Official pricing descriptions and AirPost copy checked 10 October 2026. byrd and Monta require your own quoted amounts; their charging structures are not universal European rates.

Read the unit before reading the amount. Per item can mean a charge for every physical piece; a provider might instead price a stored packaging unit as one pick. Per order can contain an included pick or only an administration step. Per parcel follows the completed package, which matters when an order splits. Have the provider write the interpretation into the quote so your spreadsheet uses the same definition as the invoice.

Do not compare an order base with another provider’s complete preparation amount. List what each includes: finding the goods, checking quantities, assembling the packaging and any inserts. Keep transport and material costs visible. For the broader warehouse decision, the existing peer-to-peer fulfilment versus 3PL guide covers the full monthly comparison.

How should you price a basket with several products?

Give each provider the same sample basket with product codes, quantities and packing instructions. Ask for a completed cost breakdown for that basket. If a quote has base B and additional-pick charge A, and explicitly includes the first pick, a basket with three separately charged picks costs B plus 2A for that component. If the base includes no picks, the corresponding calculation is B plus 3A. The symbols stand for your quote; they are not assumed market prices.

Then ask what happens when the basket contains three units of one product instead of three different products. Picking one stored multipack can differ from collecting and checking three individual units. Record how your products actually enter storage: loose units, sealed retail packs or ready kits. A change in that setup can alter the billable work even when the checkout basket still shows the same product name.

Keep a sample for a normal single-item basket and one for your recurring multi-item basket. Add unusual handling only where your products need it. You want a comparison based on the work you will regularly buy, rather than a complicated theoretical order. Confirm which changes would require a new quote, particularly a new packaging method, an insert or assembly.

Does a product bundle automatically count as one pick?

No assumption is safe without knowing how the bundle is stored. A sealed, labelled kit can be a stored unit that is selected as a whole. A checkout bundle assembled from loose products requires the components to be gathered and checked. The customer can see one bundle on the order while the packing operation sees several stock movements. Quote the preparation process, not just the storefront description.

byrd’s page distinguishes items and packaging units and mentions an already prepared parcel as a single-pick case. Monta lists product bundling and personalised packaging as additional services. These examples show why you should ask about the work behind a bundle. Pre-assembly also moves work earlier: confirm its price, storage footprint and how unsold kits can be separated again before deciding that it reduces the total cost.

What is the preparation reference for AirPost parcel sizes?

Parcel categoryRecommended sender feePlatform feePreparation reference before label
Letterbox€1.50€0.85€2.35
Small parcel€2.25€0.85€3.10
Standard parcel€3.00€0.85€3.85
Large parcel€5.50€0.85€6.35
AirPost’s recommended preparation constants plus the platform fee, checked 10 October 2026. Senders set their own fees. This is a planning reference, not a carrier quote or a promise that every size has a service on every route.

Your sender’s accepted fee replaces the recommendation. Discuss the actual basket: quantities, packaging, inserts and any special checks. A larger item count does not prove the carton moves into a larger parcel category, and a single bulky item can need one. Measure the finished box rather than using the number of products as a size rule. A letterbox recommendation is relevant only when an eligible letterbox service exists and your packed order qualifies.

Through AirPost for webshops, the sender can hold an agreed stock batch, pack orders and hand them to a carrier. The shop supplies packaging or agrees its purchase in the chat. Settle those details before stock arrives. A preparation fee should correspond to a routine the sender understands, rather than a general promise to handle any basket complexity for the same amount.

What happens to the cost when one order becomes two parcels?

Illustrative qualifying domestic profilesCarrier-only index arithmeticPlatform plus suggested preparationSubtotal before materials
Two separate 2 kg small parcels inside the Netherlands€9.30€6.20€15.50
One combined 5 kg standard parcel inside the Netherlands€6.05€3.85€9.90
Index minima retrieved 10 October 2026. This is a conditional carton comparison, not an observed customer basket or bookable quote. Each proposed carton must qualify for its category and carrier service; packaging, stock transport and extras are additional.

In this arithmetic the split subtotal exceeds the combined subtotal by €5.60. The reason is visible: splitting repeats the label, platform fee and preparation fee. It also needs two packages. However, the combined box must genuinely fit the assumed service. A larger carton, special content condition or unsuitable recipient option can change the result. Request the actual two alternatives before choosing the packaging routine.

Sometimes splitting is necessary because the products are in different locations or cannot travel together. Record the extra dispatches rather than blaming the pick charge for the whole difference. Agree whether the customer receives both parcels together or separately, and retain each shipment reference. An order-level cost report should add every parcel attached to that order before you assess its margin.

Which costs can sit outside the advertised pick charge?

Request separate rows for receipt of stock, storage, preparation, materials, dispatch support, transport and returns. byrd’s published breakdown separates those stages; Monta likewise describes a customised fulfilment quotation. You need the actual amounts and billing units, including any minimum or setup arrangement in your offer. Do not estimate the complete cost by multiplying the smallest picking line by the number of orders.

Materials need particular attention. If you supply your own cartons, confirm which preparation tasks remain payable and how the provider stores or receives those cartons. If the provider supplies them, establish whether the price covers the box, protective material and sealing. A branding insert can also introduce a separate picking or preparation step. Put the agreed scope beside its amount so a later change is easy to identify.

How do you turn a sample quote into a useful order budget?

Group your own recent baskets by the work they require. Apply the verified quotation to each group, including its actual parcel count and carrier option. Sum the costs, then divide by the completed orders being measured. Keep setup and recurring storage visible alongside the preparation result. This gives you a budget tied to your basket mix instead of a European average that may describe a different business.

Compare the first invoice with those sample calculations. Look for repeated picks, a different package size or an extra dispatch before treating a difference as a price increase. Save the basket, packing instructions and shipment references together. If your products or kit setup change, refresh the sample. For the separate carrier component, use the existing European shipping cost guide.

Frequently asked questions

Is there one pick-and-pack price for all European shops?

No. The checked providers describe different charging units and customised quotations. Obtain prices for your products, basket mix, preparation instructions and dispatch location.

Do three products always mean three billable picks?

No. Confirm whether the provider counts physical units, stored packaging units or prepared kits, and whether the order base already includes any pick.

Does a per-order preparation price include shipping?

Do not assume it. Establish which preparation tasks are included and keep carrier transport, materials and other quoted stages separate.

Can I use the recommended AirPost fee as my sender’s quote?

No. It is a reference from the shared pricing constants. The sender sets the actual fee, and you agree the basket and packing routine before sending stock.

Why can splitting an order change the cost so much?

Each additional parcel can repeat its label, platform and preparation charges and require extra material. Compare eligible cartons and total every shipment linked to the order.
