What does a Royal Mail business account really cost?

In short

  • There is no single Royal Mail business-account price that tells you the cost of your orders: request the product rate, VAT treatment, collection terms and applicable extras together. Royal Mail directs sellers around 20 parcels a week towards an account discussion, while individual products have their own eligibility rules.
  • The October 2026 business guide describes Royal Mail 24 and 48 for more than 1,000 Parcels and/or Large Letters per site annually; this is a product threshold, not a fee for opening OBA.
  • Keep the cash amount payable separate from the cost after any recoverable VAT. Compare the same service and parcel format.
  • An account organises postage purchasing. It does not include someone storing your stock or packing orders.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

You may already buy labels online and wonder whether opening a business account is the next sensible step. The useful answer is a written quote for your actual products, rather than a claim that every business account is cheaper. Your shop needs to know what it will pay, when it will pay and what preparation the price assumes. Those questions are related, but they are not the same question.

The Royal Mail pages and business price guide used here were opened on 14 October 2026. The linked guide states prices effective from 5 October 2026. Check the dated documents supplied with your own offer before accepting it. A screenshot of a different seller’s account rate lacks the service code, contractual context and often the tax treatment needed to make a useful comparison.

Are an account, OBA and Click & Drop the same thing?

Royal Mail’s price page distinguishes one-off purchases, a registered Click & Drop account for regular sellers and a Royal Mail account discussion for higher weekly sending. Its OBA page describes online management of payments and invoices. Treat the purchasing agreement, label workflow and invoice portal as separate parts of your setup. Being able to log in somewhere does not identify which postage products or negotiated prices your shop can use.

Before asking about cost, write down your current workflow: where orders enter, which product you buy, how postage is paid and how parcels are handed over. Bring that description to the quote discussion. If the account offer changes the service, it may change more than price. Record the new service code and compare its evidence, preparation and operational fit with the current product. A different name on the portal is not a complete specification.

Which published thresholds apply to your particular service?

The business-account page advertises an account conversation at 20 parcels weekly and directs lower-volume sending towards online postage. The October guide separately describes Royal Mail 24 and Royal Mail 48 for more than 1,000 Parcels and/or Large Letters per site per annum. The same guide describes 1st and 2nd Class Account Mail for infrequent parcel senders below that annual figure. Ask which product your offer actually enables.

Published references checked on 14 October 2026. They are different product and sales descriptions, not one universal contract minimum.

Do not convert a weekly sales prompt into a guaranteed annual eligibility rule. A concentrated seasonal business and an evenly distributed dispatch operation have different patterns. Supply your actual weekly and site-level records, with exceptional periods identified. Ask whether returns and other formats count. Get the answer attached to the product schedule rather than relying on an assumption that all Royal Mail items contribute to the same threshold.

How do you compare VAT without overstating the saving?

The October business guide explicitly marks VAT treatment by table. Its Royal Mail 24 and 48 table excludes VAT, while its Signed For tables are marked exempt. You must therefore compare the exact products on the appropriate tax basis. Do not apply one tax treatment to every service simply because all labels are purchased from Royal Mail or appear on the same account invoice.

Make two columns in your own comparison: cash payable and cost after VAT that your business can actually recover. Use your accounting treatment, not another shop’s registration status. If you cannot reclaim VAT, retain it in the cost comparison. If you can, still preserve the cash column because your bank balance must fund the invoice before any later recovery. Record the source and effective date beside each product’s treatment.

For a quote stated exclusive of VAT, apply the tax rate shown for that service to reach the cash total. Then add applicable extras on their own documented tax basis. Avoid inventing a carrier amount just to demonstrate a saving. Your written offer provides the numbers; the worksheet provides the method. A comparison that cannot reproduce the quoted total is unfinished, even if the advertised transport line looks attractive.

Which collection and payment terms must be priced separately?

Ask the representative to state the collection arrangement in writing: location, days, handover preparation, changes during closures and any applicable charge or qualifying condition. Do not treat ordinary label printing as evidence that a collection has been booked. If your present method is drop-off, compare that actual method with the proposed collection. Keep your staff’s handover work visible instead of assuming that either approach removes it.

Request the invoicing frequency, payment method, credit terms and any security requirement that apply to your account. This article does not impose a standard payment period on every Royal Mail seller. Create an internal owner for invoice reconciliation and another, if needed, for dispatch preparation. Make sure account notices reach the person who can act on them. Payment terms belong in the purchasing decision because they affect cash availability during busy weeks.

Also agree how you will buy postage when the normal account workflow is unavailable. Document the fallback product and how its payment is recorded. Otherwise a temporary switch can mix two purchasing methods in the same month, making the apparent average rate misleading. In your report, show how much went through each method and retain the original label references. Resolve duplicate or corrected purchases before using the report to renegotiate.

What should your account quote worksheet contain?

  1. List the services you actually need

Use your completed dispatch records to identify formats, weights and destinations. Add returns only where the shop actually purchases them. Keep an expected new service separate from the historical baseline.

  2. Attach the complete offer

Save the dated product schedule, VAT wording, collection arrangement and payment conditions. Ask which general documents are incorporated. Write down any assumptions the representative used to prepare the proposal.

  3. Reprice matching orders

Apply the quoted product to compatible historical orders. Include all applicable extras and show exclusions explicitly. When a current parcel does not fit, identify the replacement service before calculating a total.

  4. Review the operating change

Confirm who creates labels, prepares handover information, resolves invoice questions and handles the fallback. Accept the offer only when the cost and the proposed routine can both be explained.

Leave a blank field where a quoted condition is missing and ask for it. A blank is more honest than silently assigning a zero. If the carrier responds with a total but no breakdown, request an example invoice for a compatible service or an explanation of its components. The goal is an account you can administer after the sales discussion, with a rate you can verify on actual dispatches.

Where does outsourced packing enter this calculation?

AirPost’s shared constants, checked on 14 October 2026, specify €0.85 platform fee and €2.25 recommended small-parcel sender compensation. Together that is €3.10 for those components per order. Using 20 units solely as an arithmetic comparison gives €62.00. Labels, packaging and moving stock to the sender are excluded. These amounts are in euros; no exchange rate or Royal Mail postage amount has been assumed.

The compensation is agreed with the sender, and the recommendation is not a compulsory quote. With AirPost for shops, stock is held near customers and orders are packed and dropped off locally. Compare that work separately from buying postage yourself. Royal Mail collection without a printer explains a different preparation question; it does not supply your account contract or packing labour.

Frequently asked questions

How much does a Royal Mail business account cost?

Ask for the product rate, VAT, collection terms and extras in one written offer. OBA is described as the portal for managing payments and invoices; its existence does not give one universal price for sending your parcels.

Can I get an account below 20 parcels a week?

Royal Mail directs lower-volume senders towards online postage and invites account discussions around 20 weekly parcels. Individual account services have their own descriptions. Ask which product is available for your actual dispatch pattern.

Is a Royal Mail business account always cheaper?

Compare compatible orders with tax treatment and every applicable extra included. A discounted transport line cannot establish the full saving when collection, service or other conditions differ.

Are Royal Mail business prices inclusive of VAT?

Read the particular product table. The October 2026 guide marks different treatments, including VAT-exclusive Royal Mail 24/48 tables and VAT-exempt Signed For tables. Your own recoverability determines the accounting comparison.

Does the annual threshold combine all my locations?

The guide’s Royal Mail 24/48 description uses qualifying items per site per annum. Ask the carrier which dispatch site and product items count for your proposed agreement rather than combining locations yourself.
