In short
- Royal Mail Business Keepsafe holds eligible Royal Mail post while your workspace is closed; its published terms require at least 5 working days to set it up. Those terms limit Royal Mail Tracked, Signed For and Special Delivery items to 18 days, so a long holiday needs a separate stock-delivery plan.
- A Royal Mail hold does not stop another courier bringing replenishment stock to your home.
- Check the organisation name on incoming parcels against the Keepsafe application, especially when stock belongs to several shops.
- Make your AirPost account inactive for the break and agree what happens to accepted orders and goods already in your care.
- AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.
Leaving your packing room for a holiday creates two different movements to manage. Customer orders must leave before the agreed deadline, while replenishment cartons must avoid arriving at an empty house. Keepsafe concerns incoming Royal Mail post. It does not finish customer orders, suspend a shop’s purchase orders or remove the stock already on your shelves. For a home sender, that distinction matters more than choosing a hold with enough days in its name.
This guide covers the British service and its published documents checked on 10 October 2026. It is for someone who prepares a shop’s orders at home, rather than a shop looking for a holiday fulfilment contract. The basic arrangement is explained on earning from home with AirPost. Before arranging anything, list the deliveries that could reach your address during the break and the organisations to which they will be addressed.
Which incoming parcels does Business Keepsafe actually cover?
The Royal Mail Keepsafe terms say the hold covers items sent through the Royal Mail postal service. They explicitly exclude other delivery services and couriers, including Parcelforce. The Business Keepsafe application also says the service applies only to organisations named in the application. A carton addressed to a shop name you have omitted therefore needs checking; your own name on the door is not a substitute for the correct application details.
Make a delivery list from actual replenishment arrangements. Ask each shop which carrier it intends to use and what recipient name appears on the carton. A shop might use Royal Mail for customer parcels but a different carrier for your bulk stock. That means the stock delivery is outside this hold. Changing that delivery date with the shop is often clearer than trying to infer coverage from the carrier you normally use for outgoing orders.
| What could arrive? | What to check | Holiday action |
|---|---|---|
| Royal Mail post for the named organisation | Correct organisation and confirmed hold dates | Keep the application reference with the delivery plan |
| Royal Mail Tracked or signature item | The separate 18-day retention limit | Avoid replenishment that needs longer storage |
| Parcelforce or another courier | That carrier’s own arrangements | Agree another arrival date with the shop |
| Carton already in your home | Contents, ownership and open orders | Agree safe storage or a return before leaving |
How far ahead should I arrange the mail hold?
Clause 4.1 of the published Keepsafe terms requires at least five working days after Royal Mail receives the application. Count that preparation period before your intended start, rather than submitting a form on your last packing evening. The application acknowledgment includes a reference number. Keep that acknowledgment and check the dates it confirms before telling a shop that its Royal Mail post will be held.
Work backwards from departure with the shop. First identify the last customer order you can complete. Then decide the final replenishment date that leaves you enough time to count and inspect the carton. Finally arrange the incoming-mail hold. These dates need not be identical: you might stop accepting new work before your travel day while still receiving a final, previously agreed delivery. Describe those dates separately so the shop can schedule its own dispatches correctly.
Will a 100-day booking protect every parcel for 100 days?
No. The business product page advertises holds of up to 66 or 100 days, but the April 2026 terms linked from that page still state a business maximum of 66 days. That is a discrepancy between Royal Mail’s own documents. Ask Royal Mail to confirm the applicable term before relying on a longer business booking. A duration shown on a marketing page also does not override the separate retention limit for tracked and signature items.
A useful question for a long absence is whether a specific incoming carton remains covered throughout your trip. Give the carrier the service name, organisation name and expected arrival date. Do not settle for an answer about ordinary letters when the shop intends to send tracked stock. If the coverage is unsuitable, ask the shop to keep that replenishment until your return or agree another arrangement before it posts the carton.
What should I do with stock already in my packing room?
The hold cannot move or protect goods already at home. Count what remains by shop and product, identify any orders you have accepted, and separate finished parcels from unallocated stock. Check whether a return to the shop has already been requested. That discussion determines your practical departure plan; making a carrier booking does not tell the shop whether its goods are still available for new orders.
Use a short written handover record: stock present, parcels handed over, orders still open and the date of your next check. If someone will enter the home while you are away, agree whether that person may touch the shop’s goods. Do not leave unlabelled cartons for a relative to interpret. The purpose of the record is to preserve the link between products and orders without asking anyone to improvise packing or choose a replacement carrier.
How do I stop receiving AirPost offers before the holiday?
While arranging an incoming-mail hold, also decide when you will stop taking new packing work. AirPost distinguishes a recurring week pattern from a longer absence: select your usual days, or set the account to inactive for the holiday. Inactive status removes you from the sender list and stops order offers. Your profile, reviews and ongoing collaborations remain, and work already with you still needs completing. Reactivation happens when you activate the account yourself.
For this holiday, make the switch after checking the work you have already accepted, and tell each collaborating shop the relevant dates. A shop needs to know whether it can send more stock, not just whether your public profile is visible. Record your intended return in your own diary. AirPost’s copy does not describe a holiday end date that automatically makes you available again, so a carrier hold ending is not a signal that your packing capacity has restarted.
What should I check before accepting work after I return?
The Keepsafe terms say Royal Mail aims to deliver held mail within two working days after the final hold date. That is an aim, not a reason to promise a morning replenishment slot on your first day home. Allow yourself to receive and reconcile the actual cartons before treating their contents as available. A holiday can end on one date while the stock you need for the next order arrives later.
Check the held-mail delivery
Compare the received organisations and tracking references with your pre-holiday list. Follow up a missing carton with the shop that arranged it.
Reconcile the packing room
Count the stock that stayed at home separately from new arrivals. Match any prepared parcel to its original order before starting new work.
Confirm the next dispatch opportunity
Check the actual carrier or drop-off service you intend to use. Having stock again does not itself establish a collection booking.
Restart your AirPost availability
Activate the account when you can fulfil fresh offers and confirm the first workable packing and handover dates with your collaborating shops.
How does a week away change the earnings example?
Consider an illustration with 12 small parcels in each working week, using the recommended AirPost preparation fee of €2.25 per parcel. Four working weeks would mean 48 parcels and €108.00 in preparation fees. Three working weeks followed by a week away would mean 36 parcels and €81.00. The assumed weekly volume is a planning example, not a promise that shops will offer that work.
After the 3% payout commission, the two totals would be €104.76 and €78.57 respectively, assuming one payout for each illustrated total. These are AirPost euro amounts checked on 10 October 2026; no sterling conversion is assumed. Tax, your own expenses and the separately purchased mail hold are excluded. Use the comparison to budget for the break, rather than taking extra orders whose parcels cannot leave before departure.
After returning, resume at the capacity you can actually handle while checking delayed stock. Doubling your first week’s offers to replace a missed week can create another backlog. The guide to space for packing parcels helps you check whether held mail and new replenishment will fit together. Reopening is easier when receiving, counting and dispatching each have room in the same week.
Frequently asked questions
Is Royal Mail Business Keepsafe the same as making my AirPost account inactive?
No. Keepsafe concerns eligible incoming Royal Mail post. AirPost’s inactive status changes your visibility and new order offers; it does not redirect deliveries to your home or complete accepted orders.
Does the Keepsafe business service include Parcelforce deliveries?
The published Keepsafe terms exclude other delivery services, explicitly including Parcelforce. Ask the shop to check its actual replenishment carrier and arrival date.
Can I apply for Keepsafe just before I leave?
The terms require at least five working days after receipt of the application. Arrange it earlier and keep the confirmed reference and dates.
Why should I check a 100-day business Keepsafe booking?
The product page offers it, while its linked April 2026 terms still give a 66-day business maximum. Get Royal Mail’s confirmation of the terms applying to your booking.
Should I reactivate AirPost as soon as I get home?
Reactivate when you have checked available stock and can handle the next offers. Royal Mail’s held-mail delivery aim and your packing readiness are different dates.
