Royal Mail Saturday guarantee: retail or account postage?

Avoid confusing retail Saturday prices with Royal Mail account terms. Check the guarantee, collection method and refund evidence for your shop orders.

In short

  • Royal Mail removed the separate Saturday guarantee fee for customers paying on account from 29 October 2022: qualifying Friday postings can be guaranteed by 9am or 1pm on Saturday according to the service chosen. A shop buying retail postage follows a different price and working-day structure, so check the purchase channel before charging your customer for a Saturday upgrade.
  • The account benefit does not make postage free. Match the service, acceptance time and destination restrictions to the actual order.
  • Keep the postage receipt and handover evidence. Your customer’s delivery promise and your carrier refund request need separate records.
  • AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.

A Friday order arrives in your shop, and the buyer wants the parcel before a weekend event. You look up Saturday Guaranteed prices and find a table intended for retail purchases. Before using that table, establish how you are actually paying for the label. A business selling the goods is not automatically a Royal Mail account customer for the postage. A small shop can buy retail labels, while an account customer can buy a service governed by its account agreement.

Which Saturday price applies to the way you buy postage?

The retail Special Delivery by 1pm page has separate tables for ordinary and Saturday Guaranteed purchases. It distinguishes weight, compensation level and, in the ordinary table, online prices. Use the table for the product and channel you are buying. Do not calculate an upgrade by subtracting two unrelated cells. A difference might reflect compensation cover, purchase channel or tax treatment as well as the day selected.

For account postings, read the official terms-change notice alongside your current booking terms. It records the removal of the separate Saturday fee and the qualifying Friday timed services. This is why a Saturday amount found on a retail page cannot simply be added to every business-account shipment. Save the current booking confirmation and check which guarantee your account actually selected. If your label intermediary does not expose that information, ask it before selling the option.

Why can doorstep collection change your next-day promise?

Royal Mail’s retail page says Parcel Collect adds one extra working day to the delivery guarantee. For the next-working-day guarantee, it directs you to take the item to a Post Office before the latest acceptance time. That distinction matters if your fulfilment arrangement assumes a driver will collect from the packing address. Check the rules attached to that collection and product. A label printed on Friday does not alone confirm that your customer’s Saturday requirement will be met.

Work backwards from a confirmed handover rather than from your shop’s order timestamp. Ask when the item must physically reach the chosen acceptance route. Then check whether the person holding the stock can prepare it and get there. Keep those answers attached to the order. If the required handover cannot happen, change the customer-facing offer before payment. A later explanation that the parcel was packed promptly does not solve a promise based on the wrong collection arrangement.

For a routine retail posting, the same page asks you to allow time for the certificate of posting and gives advice about arriving before the branch closes. Ask the actual branch about its acceptance time rather than treating its advertised opening hours as a dispatch timetable. Keep the instruction specific to your chosen location. A branch that is open later than another branch may still have a different last acceptance time for the service you need.

Does your destination support the guarantee you selected?

The business Special Delivery page lists geographic exceptions and says it cannot guarantee Saturday delivery to the Isle of Man, Jersey, Herm, Sark and Alderney. Check the full destination rather than advertising one weekend promise across your entire shipping zone. A postcode restriction can change the available time or day. Use the relevant product’s current exceptions when you reserve the postage and when you display the promise.

Also ask whether someone can receive the parcel at the destination. A buyer may use an office address that is only staffed on weekdays. A confirmed service cannot create an open reception desk. Ask the customer to choose an appropriate address before the label is booked. If the order address changes afterwards, repeat the eligibility and deadline checks. Do not retain the previous guarantee simply because the customer’s name and purchased product remain the same.

What should you retain if the guaranteed delivery is late?

The retail compensation policy for delays sets a fourteen-day posting deadline for a Special Delivery fee-refund claim. It also defines Saturday as a working day for the relevant retail service only when Saturday guarantee was purchased. Those are retail rules. For an account or intermediary purchase, obtain the applicable claims route and conditions instead of submitting a retail form on the assumption that every Royal Mail label is handled the same way.

  1. Retrieve the purchase record

Identify the product, payment channel and guarantee chosen for this parcel.

  2. Compare the handover and delivery events

Keep the posting evidence and the tracking event that explain what happened.

  3. Use the claim route for that purchase

Contact the account or intermediary owner where appropriate, rather than guessing from the carrier name.

  4. Record the customer resolution separately

Keep your buyer’s messages and any agreed remedy alongside, but distinct from, the carrier claim.

A postage refund and compensation for goods are different questions. Describe what you are claiming and keep its evidence together. Do not promise the buyer the maximum cover figure printed on a product page merely because delivery was late. The value of goods, the purchased cover and the conditions for a delay refund concern different parts of the order. If you are uncertain about a condition, obtain confirmation through the purchase channel before telling the customer what a claim will pay.

How do you separate local packing from Royal Mail postage?

AirPost’s code constants, read on 13 October 2026, recommend €2.25 for preparing a small parcel, with €0.85 in platform costs. Together that is €3.10, excluding postage, packaging and any purchased delivery option. These are euro-denominated AirPost figures, not pound prices or a currency conversion. Agree the packing fee with the person preparing the order, then add your actual Royal Mail booking in its original currency.

For one real order, keep a preparation line and a postage line. If you account in pounds, apply your own documented accounting conversion to the euro cost when needed. Do not invent an exchange rate or add the two currencies as if they were identical. You can still assess the operational choice immediately: which posting route can the packer use, and does the booked service match the promise? A lower postage surcharge is irrelevant if the required handover is impossible.

The account-versus-retail distinction also helps you read invoices. Compare the confirmed service to the billed product, not just the invoice total. For the different publications and purchase routes, see choosing a Royal Mail business price guide. If packing is outsourced, share the correct posting instructions and decide who retains the receipt. That makes a later billing or delivery query traceable to the actual order.

When should your shop offer a Saturday option?

Offer it when you can verify the service and complete the preparation and handover it requires. Start with your actual stock location and your current booking channel. A promise for every product may fail when one item is held elsewhere or needs a different package. Check the final basket before displaying the option. If a combined order must be split, explain the separate deliveries and verify the service for each parcel before accepting payment for the promised date.

For local fulfilment through AirPost, agree with the person holding your stock how an urgent order is accepted, prepared and handed over. The packing arrangement itself does not buy Saturday Guaranteed postage. Confirm that your chosen service is available through the actual booking route. Then test a genuine order from selection through invoice, and use what you learn to write a clear offer your next customer can understand.

Frequently asked questions

Are Royal Mail Saturday Guaranteed prices the same for every shop?

No. Retail buying and payment on account have different conditions. Check the channel, product, weight and cover before selecting a price.

Do account customers pay the retail Saturday upgrade?

The official notice removed the separate fee for qualifying account postings. Confirm eligibility in your actual booking rather than adding a retail-table amount.

Can I use Parcel Collect for a retail next-day guarantee?

The retail product page adds a working day for doorstep collection. Check the resulting guarantee date before selling an urgent delivery promise.

Does creating the label prove I posted in time?

No. Keep physical posting evidence and the correct acceptance instructions for your handover route.

Is an AirPost packing fee a Royal Mail delivery guarantee?

No. Preparation, platform costs and purchased postage are separate. The delivery conditions come from the actual transport booking.
