In short
- A UPS recipient or third party can generally start a claim as a guest, subject to account restrictions, but claim payment goes to the shipper. For a US domestic loss, act within the 60-day notice period and identify the shipper of record before sending your buyer to the claim form.
- A seller, local packer, booking provider and UPS account holder can be four different parties. Find the account that purchased the shipment and the procedure it uses.
- The current US tariff separates 60-day domestic notice from a nine-month formal claim-filing limit. The longer period is not permission to omit timely notice.
- Dropping a box at The UPS Store does not by itself qualify it for the store’s Pack & Ship Guarantee.
- AirPost is a peer-to-peer fulfilment network: online shops have their orders packed and dropped at a parcel point by verified people near their customers, who earn a fee per parcel from home. No warehouse, no minimum order volume.
You sold the goods, another person packed them, and the label came from a shipping platform. Now the buyer asks you to claim from UPS. Your order ownership does not tell you who receives carrier notices or payment. Trace the booking account first, then assign one person to move the case through that account’s process. This guide covers US domestic webshop shipments using the official materials checked on October 14, 2026.
Who is the shipper of record on this booking?
Retrieve the tracking number, label purchase confirmation and billing record. Find whether the shipment used your UPS account, a provider’s account or a participating retail store’s account. The return address printed on a box is useful shipment information, but it does not always identify the billing relationship that controls claim access and payment. Ask the label seller when the account relationship is unclear.
UPS encourages shippers to log in for the full claims dashboard and says recipients or third-party shippers can use guest filing. It also permits the shipper to restrict recipient and third-party claim initiation. Therefore, a guest form failing to accept the shipment does not necessarily mean no covered loss occurred. It may mean the account holder needs to initiate or authorize the process.
| How the label was purchased | First contact for your shop | What to establish before filing |
|---|---|---|
| Your own UPS account | Your account user responsible for claims | Authenticated account access and the shipment reference |
| A booking provider’s UPS account | That provider’s shipment-support channel | Whether it files, authorizes you or requires a particular form |
| The UPS Store packing and shipment | The store where you purchased the service | The receipt, account used and guarantee eligibility |
| Customer or another party’s account | The account holder who arranged shipment | Claim authority, document access and payout handling |
Write the answer into the order record: claimant, account holder, provider ticket and customer-contact owner. If your local packer has the receipt, ask for a copy tied to this tracking number. Keep your customer invoice alongside it. The packer should not have to decide marketplace refund policy simply because they can retrieve the handover paperwork.
Why does a guest claim not make the buyer the payee?
Starting an investigation and receiving compensation are separate functions. UPS says approved claim payments are sent to the shipper, and the shipper may need to supply payment documents. The buyer can report facts about a missing or damaged package, but you should not promise that UPS will send them the retail refund. Your customer remedy remains a separate action in the sales channel.
UPS’s claims page says it has switched to electronic payments and provides EFT enrollment instructions when a first eligible claim is approved. Verify that the relevant account holder receives those instructions and completes them. If a provider is the payee, ask how it passes an award to your shop and how you can identify that credit. A carrier approval notice is not evidence that your business has received the funds.
Keep the expected recipient of each payment explicit. A buyer refund returns sales proceeds through the applicable transaction process. A carrier award recovers an eligible shipping loss through the shipper relationship. Reconcile each completed movement by reference, date and currency. This prevents an account credit at the provider from being mistaken for a refund that has already reached the customer.
Is the deadline 60 days or nine months?
UPS’s US claim page tells customers to start a loss or damage claim within 60 days of scheduled delivery. Section 55.3 of its current US tariff gives domestic shipments a 60-day notice requirement after delivery, or after scheduled delivery if delivery fails, and a nine-month written claim-filing period. These are distinct procedural requirements, rather than two interchangeable dates for doing nothing until the last day.
For your operating process, initiate promptly through the account or provider and retain confirmation of notice and submission. Ask the provider to confirm the applicable steps in writing. Do not rely on the nine-month period after missing the initial notice requirement. If a claim has legal or contractual complications, the applicable account terms and actual notices need individual review; a marketplace message does not substitute for a carrier submission.
A provider can also require time to collect and transmit documents. Put its deadline beside the carrier deadline in your case record rather than assuming they are identical. Record whether it has merely opened a support ticket or actually submitted the carrier claim. Those events can occur on different days, and only the latter confirmation explains what has reached UPS.
Does The UPS Store handle every UPS claim?
The store’s Pack & Ship Guarantee requires a participating location to pack the item using new materials purchased there and ship it via UPS on the location’s applicable UPS account. The guarantee can reimburse eligible item value, packing services and materials, and shipping charges, with stated limits and exclusions. Keep the receipt and return to the same location for the claim process.
The published exclusions include customer-packed packages and shipments processed on your own UPS account or through UPS.com. A box you prepared at home and dropped at a store is therefore not automatically a Pack & Ship Guarantee shipment. It may still have the carrier liability applicable to its booking, but the store guarantee is a different basis of recovery. Describe the purchase accurately when requesting help.
Check whether you paid the store for packing or only used it as a drop-off point. Retain the packing and transport lines from the receipt. If several packages were handled together, identify the one affected and its contents. Do not send the buyer to a nearby store that did not arrange the shipment and expect that store to own the original claim.
What should you do when the form refuses the package?
Read the error or dashboard state before repeating the submission. UPS lists account authentication problems, shipper restrictions and an already-open investigation among possible reasons. Obtain the existing case reference if somebody has already filed. Adding a second narrative through another person can make it harder to understand which request controls, without supplying any additional evidence.
Identify the exact service as well. UPS says Ground Saver claims are accepted for packages delivered by UPS, but no longer accepted after the exception scan recording transfer to the Post Office. That service-specific statement does not mean every UPS package handed between facilities follows the same rule. Give the provider the actual tracking history and ask which recovery path applies to that shipment.
For a damaged delivery, supply current receiver contact details and tell the buyer to retain the box and contents. For a missing delivery, obtain a clear account of what the buyer did or did not receive. Keep those factual requests separate from any demand that the buyer absorb the loss. Your seller response should address the purchase while the account holder manages carrier recovery.
How do you budget while the payee finishes the claim?
AirPost’s US-to-US options page, fetched October 14, 2026, displayed small-package USPS Ground Advantage from about $7.78. If you choose an eligible replacement through that route at the same confirmed quote, you need that $7.78 before any UPS award reaches the shipper. This is a USPS replacement illustration, not a UPS rate or a promise that the original UPS claim will pay for it.
The displayed route component includes the platform fee and excludes your sender’s agreed preparation charge. Add the goods and materials from your actual records. An award paid to a provider does not reduce your cash requirement until its credit is available under the provider’s process. Compare the customer’s preferred remedy and the actual replacement quote before buying another label.
For AirPost local fulfillment, agree who buys labels, preserves records and responds to claim requests. The US fulfillment order-routing article explains the wider assignment of order tasks. If the replacement travels with USPS, the domestic USPS claimant guide describes a different set of claimant rules; do not carry UPS payout assumptions across carriers.
Frequently asked questions
Can a receiver start a UPS claim?
UPS offers guest filing for recipients and third parties, but the shipper can restrict it. Check the booking account when the form refuses the shipment.
Why was my UPS claim sent to the sender?
UPS routes claim paperwork and approved payment through the shipper relationship. A recipient who starts the report does not automatically become the payee.
Who files when I bought the UPS label from a platform?
Start with that booking provider and establish its account procedure. It may file for you, authorize a submission or require a particular support route.
Can I wait nine months to report a domestic UPS loss?
No. The tariff distinguishes timely notice within 60 days from the later formal-filing limit. Initiate promptly and retain proof that the required notice and claim reached UPS.
Does dropping my package at The UPS Store give me its guarantee?
Drop-off alone is insufficient. The published guarantee has specific packing, materials and store-account conditions and excludes customer-packed and own-account shipments.
